The Administrative Assistant II provides essential administrative support to ensure efficient department operations, including managing communications, preparing documents, and coordinating travel and expenses.ResponsibilitiesPrepare, edit, and finalize complex documents, including reports, presentations, proposals, and correspondence, using Microsoft Office softwareDraft and proofread correspondence, ensuring accuracy, professionalism, and adherence to company standardsManage and maintain department files and records, ensuring proper organization and compliance with retention policiesAssist in creating and maintaining templates, forms, and other standardized documents for department useReceive, screen, and prioritize telephone calls and emails for the manager and department personnel, responding to inquiries or redirecting as appropriateAct as a liaison between the department and internal/external stakeholders, ensuring effective communication and follow-upSchedule and coordinate meetings, including preparing agendas, taking meeting minutes, and distributing follow-up action itemsArrange complex travel itineraries, including transportation, accommodations, and meeting schedules, ensuring alignment with company policiesPrepare and reconcile expense reports, ensuring accuracy and timely submission to accountingAssist with department projects by tracking deadlines, organizing materials, and coordinating with team members to ensure timely completionMonitor and order office supplies, ensuring the department is adequately stocked and within budgetSupport the onboarding of new team members by preparing materials and coordinating initial training schedulesProvide backup support to other administrative staff as neededPerform additional responsibilities or tasks as assigned by the manager to support department goalsSkillsHigh school diploma or equivalent; some college coursework preferred2+ years of experience in an administrative or clerical support roleProficiency in Microsoft Office Suite (e.g., Word, Excel, PowerPoint, Outlook)Strong organizational and time management skills, with the ability to handle multiple prioritiesExcellent verbal and written communication skillsAbility to work independently and exercise sound judgment in decision-makingFamiliarity with project management tools or softwareExperience coordinating travel arrangements and preparing expense reportsStrong interpersonal skills and the ability to build relationships with internal and external stakeholdersKnowledge of office procedures and familiarity with departmental workflowsBenefitsCompetitive salary and benefits package.CTC offers exceptional career growth, cutting edge technology, educational opportunities, and recognition for quality work.Company OverviewConcurrent Technologies Corporation (CTC) was first known as Metalworking Technology Inc., (MTI), a subsidiary of the University of It was founded in 1986, and is headquartered in Johnstown, Pennsylvania, USA, with a workforce of 201-500 employees.
