Referral Relations Specialist- Part Time, Remote

Remote Full-time
Company Overview: We are a patient-centric healthcare provider group committed to delivering exceptional experiences. Our mission is to ensure every patient feels welcomed, valued, and never rushed. Inspired by the Zappos approach to customer service, we strive to bring that same level of care and attentiveness to the healthcare industry.

Job Description: We are seeking a dedicated and empathetic Referral Relations Specialist to manage and grow our referral partnerships.

In this role, you will be the primary point of contact for current and prospective referral partners, ensuring they have the information and support needed to confidently refer patients to our clinic. You will also need a solid understanding of insurance basics—such as copays and deductibles—to effectively guide partners and their patients through the referral process. Your ability to build strong professional relationships, overcome objections, and maintain organized, accurate records will be key to your success.

Key Responsibilities:
• Partner Outreach: Proactively contact existing and potential referral partners to provide information about our services, gather feedback, and address any concerns.
• Relationship Building: Cultivate positive, long-term relationships with referral partners, fostering trust and encouraging a consistent flow of patient referrals.
• Insurance Guidance: Offer basic information on copays, deductibles, and other insurance-related questions to help partners and patients navigate coverage details.
• Data Management: Track referral activities, maintain up-to-date records, and report on referral metrics to identify opportunities for improvement.
• Collaboration: Work closely with internal teams to ensure a seamless handoff of patient information and maintain a high standard of care throughout the referral process.
• Continuous Improvement: Develop and refine outreach strategies, scripts, and best practices to enhance referral engagement and conversion rates.

Requirements:
• Empathy & Warmth: Proven ability to make referral partners feel supported, appreciated, and heard in every interaction.
• Healthcare Familiarity: Previous experience in a healthcare setting, with working knowledge of clinic processes (e.g., being able to navigate phone trees until you get to the right person).
• Objection-Handling Experience and Resilience: Ability to handle rejection and objections confidently, drawing on past sales or customer service experience (frequently, you will encounter receptionists/front desk staff who will be “gatekeepers”; you need to be able to navigate “gatekeepers” to reach a decision-maker).
• Organizational Skills: Strong attention to detail and ability to maintain thorough, accurate records of referral activities.
• Work Environment: Reliable internet connection and a quiet, dedicated workspace to manage calls and communication effectively.

Nice to Have:
• Familiarity with Dialpad or similar HIPAA-compliant communication platforms.
• Experience with insurance copay and patient out-of-pocket estimates.

Why Work for Us:
• Impactful Role: You’ll play a pivotal part in expanding our network and ensuring more patients benefit from our patient-centric approach.
• Collaborative Environment: Work alongside a supportive team that values open communication, shared learning, and growth.
• Remote: Enjoy a work-from-home setup
• Patient-First Mission: Join a company devoted to enhancing healthcare experiences by prioritizing warmth, attentiveness, and empathy.

Schedule:
