Project Specialist/Admin - Contract

About the position

Responsibilities
• Supporting the Project Manager by completing a variety of time-sensitive project tasks, including data entry, project setup, document storage, and distribution.
• Manually inputting data into systems for consumption or performing routine tasks.
• Storing and electronically filing project-related documentation.
• Setting up a project in the Project Tracking System.
• Supporting the preparation of reports, presentations, and documentation for internal and external use.
• Monitoring and tracking the status of tasks and activities, providing updates and reminders to ensure deadlines are met.
• Coordinating communication among team members, stakeholders, and external partners to facilitate smooth information flow.
• Handling various administrative tasks such as filing, document management, and managing electronic records.
• Assisting with processing various transactions in internal and external systems.
• Assisting in organizing and maintaining project materials to support team needs.
• Conducting basic research and gathering information to assist with administrative tasks and team activities.
• Updating and maintaining spreadsheets and databases to reflect current information and metrics.
• Providing support for ad hoc administrative tasks and special requests as needed.

Requirements
• Education or job knowledge equivalent to a 2-year college education.
• At least one year of relevant job experience in an administrative or data entry role.
• Proven experience in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Excellent organizational skills with the ability to manage multiple tasks and priorities effectively.
• Strong attention to detail and accuracy in data entry and record-keeping.
• Good verbal and written communication skills, with the ability to interact professionally with team members and stakeholders.
• Ability to work independently and collaboratively in a dynamic environment.
• Basic understanding of office procedures and administrative practices is an advantage.
• Willingness to learn and adapt to new tools, processes, and systems.
• Ability to handle confidential information with discretion and professionalism.
