Project Coordinator

The Schlegel-UW Research Institute for Aging (RIA) is a charitable non-profit organization dedicated to enhancing care and quality of life for older adults. The Project Coordinator will support program delivery and knowledge mobilization by coordinating project workflows, maintaining documentation, and collaborating with partners across various sectors.ResponsibilitiesSupport the coordination and implementation of projects by tracking progress, maintaining organized files and databases, and assisting with data collection and entryPrepare proofread materials, coordinate meetings (scheduling, materials, minutes) and support translation and mailoutsSupport the sharing of project findings and insights through presentations, reports, promotional materials, and web contentContribute to internal and external committees, working groups, and collaborative initiativesPro-actively and regularly communicate with supervisor and project team regarding assigned work, including communicating obstacles and challenges as they ariseConsult with team members about their needs and liaise between team members and supervisorActively participate in team and organization-wide meetings virtually and in-personCoordinate in-person and virtual events and presentations, including logistics, materials, and cateringProvide meeting support, including preparation and minute-takingTake on additional tasks, activities and special projects, as they ariseSkillsPost-secondary diploma or degree in social sciences, public health, or health services research or equivalent experienceA minimum of 1 year of experience in project coordination and/or project administrationExperience in event planning, whether through school, volunteering, or previous workExcellent communication skills and a genuine interest in collaborating with diverse partners and equity-deserving groupsStrong organizational habits and a self-starter mindset, with the ability to stay on top of details and anticipate next stepsA collaborative spirit and the ability to work effectively within a team toward shared goalsAdaptability and problem-solving approach when priorities shift or new challenges ariseA continuous learning mindset, showing excitement for professional development and new ways of workingConfidence using digital tools, including Google Workspace and Microsoft Office, and a willingness to learn new systems like CRMs and databasesFluency in EnglishEligible to obtain a clear police background and record checkEligible to work in CanadaFamiliarity with the healthcare or research sector, specifically involving older adults, care partners, clinicians, or researchersFluency in French is an asset but not requiredBenefitsExtensive benefit package inclusive of health, dental, RRSP matching, and paid personal days.Hybrid working options available for team members.Company OverviewAs a charitable, non-profit foundation, the Schlegel-UW Research Institute for Aging (RIA) enhances the quality of life and care of older adults through partnerships in research, education and practice.
