They are seeking a Project Administrator to manage job data, ensure compliance with client guidelines, and support the team with various administrative tasks.ResponsibilitiesEntering accurate job data into Dynamics 365Setting up the job foldersReading the contract for job specific detailsEnsuring the team is aware of any specific client guidelinesSelecting appropriate templatesRequesting documents from the clientCoordinating and scheduling the site visit as neededEstablishing deliverable due datesConducting government research for the subject propertyUploading documents receivedCompleting assigned sections of the reportManipulating photos into our templateAdding data from the Application for Payment to our spreadsheet templateReviewing the final product for continuity and languageConverting all native documents into an electronic pdf deliverable and issuing it to the appropriate partiesCreating and sending invoice(s)Being the knowledge leader on company protocols and standardsTypical administrative duties such as receiving couriers, answering the phone, office and breakroom inventorySkillsHigh school diploma or equivalent requiredDisplay exceptional proofreading, editing, grammatical, content reading, and formatting skillsBe able to communicate with appropriate outside parties via phone and email displaying a high degree of professionalism and confidentialityBe comfortable conducting basic research by phone and onlinePerform successfully in a self-directed manner as well as within a teamDiligently communicate with team to meet job deadlinesRespond to fluctuating work loads and changing priorities with a positive attitudeOrganize details for multiple jobs, multiple clients, and multiple teamsHave exceptional attention to detailUnderstand the nature of our business is demanding and that a certain amount of flexibility is critical, and overtime is sometimes requiredMust be able to remain in a stationary position 50% of the timeOccasionally move about inside the office to access office machinery, collaborate with others, etcConsistently operates a computerFrequently communicates with team members.
