About the position

The Program Assistant Apprenticeship is a full-time, limited-term position offered by the City of Irvine as part of the Californians for All Youth Jobs Corps initiative. This apprenticeship program is designed to empower the next generation of public servants by providing them with gainful employment, innovative training, professional development opportunities, and mentorship. The apprenticeship is budgeted for a duration of 13 months, with an estimated program period from November 2024 to December 2025. While post-apprenticeship employment opportunities may be available, they are not guaranteed. As a Program Assistant, you will play a crucial role in delivering quality administrative support across various city departments. This position requires a strong commitment to customer service and a passion for serving the community. You will be responsible for coordinating and managing departmental administrative functions, prioritizing tasks and projects to support daily operations. Additionally, you will enter and review a high volume of data in complex systems, respond to public inquiries, and assist in maintaining a professional environment for employees and visitors. Your contributions will directly support some of Irvine's most important initiatives, making this an impactful role within the community. The apprenticeship program also emphasizes the importance of mentorship and professional growth, allowing participants to engage in various training sessions and development opportunities. Responsibilities
? Coordinate and manage departmental administrative functions, prioritizing tasks and projects to support the team's daily operations.

? Enter and review a high volume of data in complex systems while appropriately applying policies and procedures.

? Respond to general correspondence and requests for information from the public.
,
? Act as a backup to the department receptionist, maintaining a professional and welcoming environment for employees and visitors.

? Provide assistance and information to employees and external parties regarding City services, programs, policies, and procedures, demonstrating a commitment to excellent customer service.

? Conduct research, compile, and analyze data for assigned projects and reports.
,
? Prepare and present findings to support decision-making processes.
,
? Create reports from information in databases.
,
? Demonstrate proficiency in relevant software applications such as Microsoft Word, Outlook, and Excel.

Requirements
? Community college coursework in business, office practices or related field.

? Four years of increasingly responsible customer service, clerical and/or administrative support experience, or any combination of education and experience that provides equivalent knowledge, skills, and abilities.

? May require a valid California driver's license.
