About the position

FirstLight Home Care of St. Paul is a locally owned, client-focused home care agency providing compassionate support to seniors and adults in need. We are growing quickly and looking for a professional, caring team member to manage new client inquiries and support our nurse assessment and scheduling process.

The Phone Intake Coordinator is the first point of contact for new home-care inquiries. This role handles phone calls, online leads, and follow-ups, ensuring every family receives fast, warm, and professional communication.
You will work closely with our RN and scheduling team to set up nurse assessments, collect basic client information, and support care-plan coordination.

This is an excellent role for someone who is organized, loves speaking with people, and wants to grow in the home-care or healthcare field.

Responsibilities
• Answer incoming calls and respond to online inquiries in a timely, friendly, and professional manner
• Complete initial phone intake and gather essential client information (needs, timeline, location, funding)
• Schedule RN assessments and confirm appointments with clients/families
• Conduct follow-up calls/texts to warm leads and potential clients
• Support the creation and documentation of client profiles in the CRM
• Coordinate with the Care Coordinator/Scheduler to plan start dates and caregiver assignments
• Maintain a clear and organized pipeline of inquiries and follow-ups
• Provide excellent customer service and represent the FirstLight Home Care brand

Requirements
• Strong communication skills (phone, text, and email)
• Warm, empathetic, and professional phone presence
• Highly organized and able to manage multiple leads at once
• Comfortable with scheduling, note-taking, and basic computer/CRM tasks
• Ability to work independently with accountability
• Must pass a background check

Nice-to-haves
• Experience in home care, senior care, hospitality, or administrative support preferred but not required
