About this roleThe People operations and workplace experience/facilities manager is responsible for overseeing the day-to-day operations of our New York City office, ensuring a safe, comfortable, and efficient workplace for all employees. This role involves managing facilities, coordinating office services, and implementing initiatives that foster a positive and inclusive work culture. The ideal candidate will have a strong background in facilities management, a keen eye for detail, and a passion for creating exceptional workplace experiences. ‍♀️ Your responsibilitiesFacilities Management:Oversee the maintenance and upkeep of the office, including coordinating with vendors for cleaning, repairs, and equipment maintenanceManage office space planning and layout, ensuring optimal use of space and compliance with safety regulationsCoordinate with IT and other departments to ensure all office technology and infrastructure are functioning properlyHandle all aspects of office move management, including planning, budgeting, and execution.Workplace experience:Develop and implement programs to enhance employee engagement and satisfaction.Organize and manage office events, such as team-building activities, wellness programs, and social gatherings.Ensure the office environment is welcoming and inclusive, fostering a sense of community and belonging.Manage the office amenities, including kitchen supplies, snacks, and other employee perksHealth and safety:Ensure compliance with all local, state, and federal health and safety regulationsDevelop and maintain emergency preparedness plans and conduct regular safety drillsOversee the implementation of health and safety protocols, including COVID-19 guidelines and other infectious disease prevention measuresVendor management:Select and manage relationships with vendors for office supplies, maintenance, and other servicesNegotiate contracts and ensure vendors meet our standards for quality and serviceBudget management:Manage the facilities and workplace experience budget, ensuring cost-effective solutions and staying within financial constraintsTrack and report on budget performance and make recommendations for cost savingsEmployee support:Serve as a point of contact for employee concerns and issues related to the office environmentFacilitate the onboarding process for new employees, ensuring a smooth transition into the officeCollaborate with HR to address any workplace issues and improve overall employee experienceSustainability:Implement and promote sustainable practices within the office, such as recycling programs and energy-efficient initiativesStay informed about the latest trends and best practices in workplace sustainability⭐️ Is this you?Bachelor’s degree in Business Administration, Facility Management, or a related field5+ years of experience in facilities management, workplace experience, or a similar roleStrong project management skills and the ability to handle multiple tasks simultaneouslyExcellent communication and interpersonal skills, with the ability to build and maintain positive relationships with employees and vendorsProficiency in Microsoft Office and other relevant softwareKnowledge of health and safety regulations and best practicesExperience with budget management and cost controlA proactive and solution-oriented mindset, with a focus on continuous improvementAbility to work effectively in a fast-paced, dynamic environment Benefits & perks (US Full-time employees)Generous PTO, plus company holidaysMedical, dental, and vision coverage for you and your familyPaid parental leave for all parents (12 weeks)Fertility and family planning supportEarly-detection cancer testing through GalleriFlexible spending account and dependent FSA optionsHealth savings account for eligible plans with company contributionAnnual work-life stipends for:Home office setup, cell phone, internetWellness stipend for gym, massage/chiropractor, personal training, etc.Learning and development stipendCompany-wide off-sites and team off-sitesCompetitive compensation, company stock options and 401kWriter is an equal-opportunity employer and is committed to diversity.
