Position Overview The Patient Scheduler is responsible for managing appointment scheduling activities for partner clinics and provider groups, including new patient consults, follow-up visits, and rescheduled appointments. This role requires speed, accuracy, strong communication, and consistent adherence to clinic workflows, escalation procedures, and privacy requirements. Core Responsibilities Manage and track patient scheduling activities for partner clinics and provider groups Scheduling patients for consults to discuss advanced treatment options according to practice-specific protocol Handle a high volume of inbound and outbound calls, with an expected volume of approximately 500–600 calls per week Answering patient questions and providing education related to recommended treatment options that supports the provider's recommended plan of care Reviewing treatment plans and provider notes in designated EHR systems and documenting pertinent information for efficient patient tracking and follow-up Communicate appointment details, scheduling instructions, and next steps clearly and professionally to patients Follow clinic-specific scheduling workflows, provider preferences, and escalation procedures consistently Maintain accurate documentation and protect patient information in compliance with HIPAA and all applicable privacy and confidentiality requirements Support additional scheduling, administrative, and operational duties as assigned Performance Expectations This is a high-accountability role with clear expectations around productivity, quality, and reliability. Success in this role requires: Consistently manage 500–600 calls per week and deliver scheduling results across assigned accounts, with a target of at least 2 bookings per account and no fewer than 6 total bookings per day. Maintain strong accuracy in scheduling, patient demographics, insurance entry, and visit-related documentation Keep work queues, follow-ups, and assigned tasks current and complete Demonstrate reliability, responsiveness, and professionalism in a remote work environment Follow workflows exactly and escalate issues promptly when needed Deliver a positive and efficient patient experience on every interaction Failure to meet productivity, quality, documentation, attendance, or workflow expectations may result in performance management. Qualifications Prior experience in patient scheduling, healthcare operations, medical front desk, or a similar high-volume coordination role Ability to navigate various EHR systems and handle patient information accurately Ability to communicate confidently and empathetically with patients over the telephone using clear communication skills Excellent organizational skills and attention to detail Ability to multitask and prioritize responsibilities in a fast-paced environment Ability to work independently and maintain consistent performance in a remote setting Compensation and Benefits This position is an exempt full-time role with annual base compensation of $50,000-$55,000, based on experience, paid in accordance with the Company's payroll practices.
