Paralegal - Post-Filing & Mail Operations

Role Objective.

The Post-Filing & Mail Operations Paralegal will be responsible for the daily triage, processing, and management of all incoming mail from USCIS and EOIR. This position ensures that every legal notice, receipt, approval, and RFE is accurately routed, logged, and updated in our case management system.

The ideal candidate brings prior immigration paralegal experience, thrives in a fast-paced environment, and possesses a strong attention to detail.

Responsibilities and Duties.

Mail Triage & Processing: Process daily high-volume correspondence from USCIS and immigration courts, accurately identifying notice types (Receipts, Biometrics, RFEs, approvals, court dates).

Case Tracking & System Routing: Digitally route correspondence to the appropriate internal case files and assign tasks to the correct legal team members immediately.

Database Management: Maintain absolute accuracy in the firm’s case management system (Filevine), ensuring all post-filing milestones, deadlines, and receipts are recorded in real time.

Document Auditing: Review incoming notices against original filings to verify data accuracy and flag inconsistencies or urgent deadlines (such as RFE timelines) to attorneys.

Collaboration: Work closely with the internal Post-Filing and Legal Operations teams to ensure seamless communication and workflow across departments.

Requirements & Qualifications.

Experience: +3 years of experience as an Immigration Paralegal or Legal Assistant with direct exposure to USCIS forms, procedures, and official notices.

USCIS Literacy: Deep familiarity with immigration notice structures (Form I-797, receipt numbers, priority dates, and biometric scheduling).

Meticulous Attention to Detail: Exceptional data entry skills and a commitment to accuracy when handling sensitive client documents.

Communication: Professional fluency in written and spoken English.

What We Offer.

Full-time, long-term remote contract position.

$26,000 to $30,000 net depending on experience.

M-F 9am to 6pm Arizona Time.
