Order Procurement Representative - Remote

JOB OVERVIEW: This position is responsible for procurement of capital equipment and interface with manufacturing partners on a daily basis. The Procurement Specialist will review the order once assigned and ensure all the details are accurate prior to procuring the equipment based off the customer requested installation date. In addition to procuring equipment this position will also process credit/rebills, order adjustments, and other needs of the business as they arise. KEY RESPONSIBILITIES: β€’ Receives a high volume of procurement requests from our Equipment Specialists (ES) team β€’ Follows procedures as outlined and procures equipment from within existing inventory prior to cutting a new purchase order from a manufacturer partner. β€’ Validates that updates within company systems (NES, Salesforce, Trello) are up to date and accurate same day action is completed. β€’ Tracks and monitors order process through the new PO Pend process with up-to-date notes. β€’ Responsible for overseeing the order process through the manufacturer confirmation stage. β€’ Timely communication with manufacturer partners and make necessary adjustments as needed. β€’ Timely communication with respective ES regarding order process and make any necessary adjustments if needed and obtain additional information or get clarification as needed. β€’ Responsible for following internal process and procedures as they are outlined regarding the order and procurement process. β€’ Reviews center inventory for additional procurement options, manages asset tag cost adjustments and credits from vendors for agreed upon contractual pricing. β€’ As order adjustments are submitted, reviews and ensures all details are included and effectively communicates with the respective Equipment Coordination Specialists (ECS) as needed for more details. SPECIFIC KNOWLEDGE & SKILLS: β€’ High volume order processing, in a fast-paced environment with competing priorities β€’ Clear thinker with strong prioritization skills β€’ Basic accounting skills β€’ Ability to work extended hours during peak times/End of Quarter β€’ Microsoft Word, moderate to advanced Excel knowledge, Power Point. β€’ Knowledge of and ability to learn general database applications. β€’ Strong communication and organizational skills β€’ Ability to read legal documentation β€’ Experience working within a large field organization GENERAL SKILLS & COMPETENCIES: β€’ Excellent time management skills and the ability to prioritize work β€’ Very good attention to detail and accuracy β€’ Customer service oriented and ability to work with and resolve complex issues β€’ Ability to plan and arrange activities β€’ Excellent interpersonal communication skills β€’ Excellent written and verbal communication skills β€’ Ability to maintain confidential and highly sensitive information β€’ Ability to work in a team environment β€’ Ability to multi-task β€’ Ability to manage conflict β€’ Capacity to work effectively under pressure β€’ Analytical thinking β€’ Oversee small to medium sized projects β€’ Identify and recommend continuous improvement opportunities β€’ Establish productive working relationships at multiple levels within the organization MINIMUM WORK EXPERIENCE: Typically 4 or more years of related experience. PREFERRED EDUCATION: Typically High School education, vocational training and/or on-the-job training. Bachelor’s degree preferred. TRAVEL / PHYSICAL DEMANDS: Travel typically less than 10%. Office environment. No special physical demands required. The posted range for this position is $43,391 - $67,798 which is the expected starting base salary range for an employee who is new to the role to be fully proficient in the role.
