Operations - Resource Coordinator

The Resource Specialist in Resource Management will support workforce scheduling across Audit, Enterprise, and Tax, administer the iFirm practice management system, and deliver insights to optimize resource utilization.ResponsibilitiesSupport the Senior Manager, Resource Management with coordinating daily, weekly, and monthly scheduling requests across Audit, Enterprise, and TaxEvaluate staffing requests and make informed allocation decisions based on availability, skills, experience level, utilization targets, and professional development considerationsProactively identify and resolve scheduling conflicts, capacity constraints, and coverage risks related to vacations, leaves, and other workforce movementsServe as a key point of contact for Partners, Managers, and engagement teams, providing clear, professional, and timely communication on resourcing matters and recommendationsOversee the accurate creation, maintenance, and closure of jobs within iFirm, ensuring data integrity, compliance with internal standards, and consistency across engagementsPartner with the admin team and engagement managers to resolve job setup and data issuesMonitor actual vs. planned hours, identify emerging resourcing risks, and escalate issues with actionable insights and recommendationsPrepare regular reporting, dashboards, and analytical insights for Resource Management and firm leadership to inform strategic decision-makingSupport continuous improvement of resource processes, tools, and systems, including the implementation of new technologies and enhanced analytics capabilitiesSkillsBachelor's degree in business, Finance, Analytics, or a related field (or equivalent experience)1-3 years of experience in resource management, workforce planning, and/or analytics in a professional services environment (or an equivalent combination of education and experience)Experience using a practice management system (iFirm preferred)Ability to manage a high volume of requests and competing priorities in a deadline-driven environmentAdvanced Excel, Power BI, and data analysis skillsStrong communication and organization skillsExperience with a scheduling system (e.g., Retain or ProFinda) is an assetBenefitsBonusHealth and fitness spendingReferral programsFlexible work arrangementsHybrid structureFirm‑paid benefitsPersonal daysSick daysVacationFirm paid SOAR (Switch Off and Relax) daysExtended holiday closuresAnnual paid volunteer dayFirm-wide special eventsCatered lunchesOn-site games (PS5, pool table, foosball)Team BINGODedicated mediation roomRegular event drawsFree ROM and AGO ticketsPaid study leavePaid exam daysFinancial supportMentorshipCompany OverviewEffective July 1, 2022 At Segal GCSE LLP, we embrace an ambitious firm philosophy: to provide our valued clients with an expansive service experience that enables greater opportunities for growth and prosperity.
