About the role
As a Medical Records Specialist at PHM you’ll work closely with your teammates collecting, processing, and maintaining medical records for our client cases and evolving our processes for consistent improvement. You’ll work directly with physicians’ offices and hospitals to help them understand the why behind the urgency and necessity of delivering the records.

What You’ll Accomplish

Work directly with doctors/facilities via phone on all assigned case tasks


Create thorough case folders by collecting, separating, labeling and uploading records


Partner with peers to evolve our collection techniques and processes for greater efficacy and efficiency


How You’ll Spend Your Days

Coordinate and oversee the collection and administration of medical records and related information from doctors’ offices, hospitals, and facilities


Think creatively to prevent and mitigate case delays and influence external entities to secure medical records and files


Compile, process and maintain medical records efficiently and consistent with medical administrative, ethical, legal and regulatory requirements


Collaborate consistently with clinical staff to facilitate and expedite cases


Develop and maintain relationships with medical record facilities


Expertly navigate proprietary and generic technology solutions


Ensure all casework and processes follow HIPAA compliant protocols with all parties encountered throughout the process


What you bring to the table:

Ability to work Pacific Time Zone hours until 5pm.


2+ years of experience in a healthcare setting. Medical records experience a plus, but not required.


Strong adaptability — you stay calm, flexible, and solution-oriented in a rapidly evolving environment.


A self-starter mindset — proactive, curious, and comfortable working independently.


High technological fluency — you learn new systems fast and leverage tech to get results.


Excellent communication and customer service skills with clients, team members, and medical partners.


Knowledge of medical terminology and meticulous attention to detail.

Compensation: The hourly rate for this position is $25-26.44 per hour, which equals an approximate annual salary equivalent of $50,000-$55,000 annually.

This base salary is only a part of a total compensation package that also includes: health/dental/vision benefits, 401k with match, PTO, PHM for PHM (our services for you and your dependents) and other benefits. Individual pay may vary from the target range as a number of factors including market forces, experience, location, disparities in market data and other relevant business considerations may all factor into final compensation.

Location
This is a remote role requiring that you live in and physically perform all work in the United States. The hours for this role, regardless of location, are 8 or 8:30 to 5pm Pacific Time Zone, Monday through Friday.
