Medical Receptionist / Administrative Assistant – Remote
This position is best suited for an experienced medical receptionist / administrative assistant with insurance verification experience who is seeking a remote role and can be trusted to work independently. Candidates must have an established work-from-home setup, including reliable high-speed internet and a dedicated work computer.
You must be comfortable multitasking and independently managing patient phone communication, patient and physician scheduling, and core administrative responsibilities for a private practice clinic based in Charlotte, NC.
We are looking for a candidate who values structure, accuracy, and professionalism, and can support both clinic operations and patient communication in a remote environment. You must be able to work consistently during fixed clinic hours and follow established workflows.
This is not an entry-level role and is not a training position. Prior patient scheduling and outpatient medical experience is required.
Core Responsibilities
Patient Communication & Scheduling
• Handle inbound and outbound patient phone calls
• Schedule, reschedule, and confirm patient appointments
• Coordinate physician schedules and manage calendar changes
• Respond to patient portal messages and administrative inquiries
• Provide accurate information to patients within established protocols
Administrative & Office Support
• Use the electronic health record (EHR) accurately and efficiently
• Perform insurance eligibility verification and document correctly
• Submit and follow up on prior authorizations as assigned
• Manage EHR inboxes, electronic faxes, and administrative tasks
• Support daily clinic operations and maintain organized records
Minimum Requirements
• High school diploma or equivalent (GED)
• Minimum 3 years of hands-on experience in outpatient medical clinic
• Experience must include direct patient interaction in a medical front desk or reception role
• Demonstrated experience managing patient scheduling and supporting real-time clinic operations
• Demonstrated experience using an electronic health record (EHR) in daily clinic operations
• Medical Terminology
• Basic understanding of insurance eligibility and verification: Procedure and ICD 10 coding
• Ability to learn new technology and clinic systems quickly with minimal instruction
• Typing ability of at least 50 words per minute
• Minimum 1 year working remote in medical or administrative role is a plus
Physical Requirements
This is a seated, computer-based role performed for the full workday. The employee must be able to:
• Sit and work at a computer for extended periods throughout scheduled clinic hours
• Use a computer keyboard and mouse without limitation of hand or wrist function
• See computer screens clearly and read digital text and documents
• Hear, speak, and communicate clearly by phone and video for extended periods
• Maintain sustained focus and attention to detail throughout the workday
