The Legal Support Staff 1 or 2 provides essential legal and administrative support to attorneys, assisting in case preparation, managing legal documents, and ensuring compliance with court procedures.ResponsibilitiesThis position formats, files, and serves legal pleadings in multiple jurisdictions, including State, Federal, and appellate courts or Office of Administrative HearingsPerforms clerical and secretarial work; and coordinates and schedules court-related services with specific instructionInteract with courts, administrative agencies, governmental entities, co-counsel, opposing counsel, or witnesses; Calendaring and ensuring deadlines are met; Compose correspondenceEstablishes and maintains case and administrative files and records; ensure confidentiality of files and recordsArrange meetings/ Prepares agendasOther duties as assignedProficiency in working without constant supervision, individually or as part of a team, to achieve project goalsCoordinate, assemble, and serve multi-document filings in Administrative Agencies, Federal and State courtsFamiliarity with E-filing is a mustPerform and oversee both simple and complex cite checking and proof reading of briefs and other legal documentsIn addition to preparing shells for complaints, motions, must also be familiar with preparing subpoenas, summonses and written discoveryEstablish, maintain and monitor recordkeeping work in connection with data/document management and case management following DRC and case protocolsSchedule/calendar court appearances, depositions, arbitrations, mediations, client meetings, conference calls, and maintains calendar and due dates for attorneys as requiredPrepare motion binders and special working bindersEstablishes and maintains filing and records, electronic formatsAssists with the discovery process, including preparing for deposition, propounding, and responding to written discovery and preparing for expert discoveryAssists with trial preparation, including creating trial notebooks/binders, identifying, and organizing exhibits, coordinating witness schedules, maintaining trial calendars, and communicating effectively with opposing counsel and courtroom staffEnsures that all correspondence or other documentation is formatted, proofread, and dispatched in a timely mannerPerform online legal research for legal advocacy staffSorts, reads, and annotates incoming mail and documents as requiredCreate and maintain legal templates and formsGenerate and prepare attorney’s fees and expense reportsProvide mentorship, review, and verify support staff’s work including researching and understanding court rules (federal & state) court as they apply to deadlines, filings and formatting of documentsAssists with printing, scanning, organizing exhibit notebooks/binders and preparing serviceMake documents accessibleWorks collaboratively within and across practice groupsAbility to track time contemporaneouslyAs needed assist with Office Operations tasks and coverageOther duties as assignedSkillsHigh school diploma or general education degree (GED)At least one-year of legal support experience (or two-years) of other administrative experience using Microsoft OfficeProficiency in Microsoft Office Suite, Office 365, including Teams, Word, Outlook, and ExcelFive (5) years of law office Litigation Support experience working on state and federal case mattersTwo years of experience successfully leading, developing, mentoring and training other legal support staffA certificate of completion of a paralegal program approved by the American Bar Association or an accredited postsecondary institution as defined in California Business and Professions Code Section 6450 (c)(2) can substitute one year of law office Litigation Support experienceDemonstrated Project Management skills is a MUSTProficient using Microsoft Office 365 (Teams, Word, Excel, SharePoint), and knowledge using case management and calendaring software and applicationsProficient in complying with the rules of court for lodging, filing and serving court documentsCompetency in the creation and drafting of a variety of legal court documentsKnowledge and familiarity in both existing and emerging software applicationsExcellent interpersonal skills, communication skills, and the ability to collaborate well in a teamStrong ability to maintain high standards, use good judgment and seek out ways to contribute and anticipate needsStrong attention to detail, organizational skills, and ability to manage time
