Legal Secretary
The State of Oklahoma's Oklahoma Tax Commission is seeking a Legal Secretary to provide confidential secretarial and administrative support to attorneys within the Legal Division. The role involves preparing legal documents, ensuring compliance with deadlines for court filings, and assisting with various administrative tasks. Responsibilities Performs secretarial and administrative support services for attorneys; composes and prepares various legal documents, correspondence, exhibits and forms Assists attorneys in ensuring that deadlines are met for court filings; files orders, judgments, pleadings, briefs and other documents on behalf of attorneys Reviews legal documents, researches applicable facts and prepares responses as appropriate Provides file maintenance for hard copy and electronic files, including scanning case files, copying pleadings and maintaining case logs for review and action by attorneys Operates a variety of office equipment; screens phone calls and receives visitors; provides requested assistance or information; opens, reviews and distributes mail Processes incoming checks received by the Legal Division as assigned Assists with training and cross training of other Legal Division employees as requested Assists in projects as assigned Other duties as assigned Skills An associate's degree in business/public administration, law, or closely related field, PLUS one year of experience performing a variety of complex clerical and typing work At least three years of experience in performing a variety of complex clerical and typing work An equivalent combination of qualifying education and/or experience Knowledge of basic legal terms and definitions Knowledge of computer operations Knowledge of office practices Skills in operating standard office equipment Interpersonal skills Computer and applicable software use Proficient in Microsoft Office programs with the ability to create and edit documents, manage emails, and prepare reports Exceptional attention to detail Complex records maintenance Ability to edit and correct draft documents Ability to handle confidential work with tact and discretion Ability to make routine decisions in accordance with agency policy Ability to interact professionally at all times in a manner that reflects well on the agency Ability to establish and maintain effective working relationships with others and contribute to a positive working environment Ability to follow oral and written instructions Ability to communicate effectively, both orally and in writing Ability to work effectively in a fast-paced environment Ability to prioritize tasks to meet deadlines Ability to prepare complex legal documents and forms Ability to direct mail and other inquiries to the appropriate employee with limited assistance Ability to respond positively and effectively to all support requests from attorneys and demonstrate a willingness to tailor documents and processes to attorneys' preferences Ability to sit and stand for extended periods of time Exhibit manual dexterity and hand-eye coordination to operate a computer, keyboard, photocopier, telephone, calculator and other office equipment Ability to see and read a computer screen and printed material with or without vision aids Ability to hear and understand speech at normal levels, with or without aids Ability to communicate clearly Physical ability to lift up to 15 pounds, to bend, stoop, climb stairs, walk and reach Possession and maintenance of a valid Oklahoma State Driver's License At least 2 years of experience as a legal secretary Benefits Generous state-paid benefit allowance to help cover insurance premiums.
