The assistant will play a key part in reducing operational bottlenecks and ensuring that client interactions are timely and professional. By proactively managing these administrative and legal support tasks, the assistant enables the attorneys and staff to focus on casework and legal strategy, increasing overall firm productivity and client satisfaction.The Impact you’ll makeEmail & Communication ManagementManage multiple client-group emails, ensuring prompt and professional responses.Use templated responses for frequently asked client questions and follow-ups.Document & Calendar ManagementDraft legal and standard documents using available templates and legal document software.Organize, monitor, and track court dates, hearings, and client consultations to avoid scheduling conflicts.Client Relationship SupportMaintain ongoing communication with clients through reminders and updates.Ensure intake forms and legal worksheets are completed thoroughly and accurately.Administrative Operations & BillingOversee task management using Asana to monitor staff workflow and deadline adherence.Assist in preparing and sending invoices and collection letters using MyCase billing software.Special Projects & Personal TasksCoordinate events and staff recognition activities (e.g., Paralegal Day, holiday celebrations).Provide additional supportive tasks as needed for office operations.Skills, Knowledge and ExpertiseRequired:Proven paralegal or legal assistant experience, especially in family law.Experience managing multiple business email accounts and legal communications.Strong calendar and schedule management skills for court and client appointments.Familiarity with legal document drafting and form management using software tools.Proficiency with project management platforms like Asana and billing software (e.g., MyCase).Bilingual Spanish SpeakerWFH Set-Up:Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.Internet speed of at least 40MBPSHeadset with an extended mic that has noise cancellation and a webcamBack-up computer and internet connectionQuiet, dedicated workspace at homeYour Superpowers:Excellent communication skills, both written and verbal, with a professional tone.Highly proactive and self-starting, anticipating needs and independently managing priorities.Detail-oriented with strong organizational skills and the ability to manage complex scheduling.Comfortable with technology, including Microsoft Office Suite, legal software (ProDoc, MyCase), and task management tools.Able to maintain a strong, confident personality while adapting to client and firm culture.You should apply if… You thrive in fast-paced legal environments requiring accuracy and discretion.You value clear, honest communication and strong client relationships.You are disciplined and able to handle multiple priorities without losing focus.You enjoy working collaboratively with attorneys and office staff while taking initiative.You are committed to supporting families in sensitive and meaningful legal matters.What to expect...Work Setup:Remote positionMust have a reliable internet connection and a quiet workspaceRequired to provide own computer with Intel Core i5 or something similar or higher operating systemWorking Hours:40 hours per week Monday to Friday, 9:00 AM to 6:00 PM Central TimeCompensation:$7 per hourNo benefits package includedBenefitsOriginally posted on Himalayas
