Job Summary

careerzynith is seeking an experienced Administrative Assistant / Data Entry Clerk to join our team in Los Angeles. Responsibilities


Field Inbound Communications: Answer phone calls, respond to general email inquiries, and route communications to the appropriate internal parties as needed.
Coordinate Scheduling: Set up meetings based on cross-functional availability for both internal and external stakeholders, ensuring smooth and efficient scheduling.
Organize Internal Resources: Develop and maintain processes to keep files, office supplies, and equipment organized and easily accessible, promoting a productive work environment.
Liaise with Visitors: Act as the primary point of contact for office guests, ensuring a warm and welcoming experience.
Communicate Policies and Procedures: Alert employees of new processes, rules, and regulations, ensuring a seamless transition and minimizing disruptions.
Facilitate Executive-Level Operations: Book travel arrangements, submit expense reports, and send communications for high-level staff as needed, providing exceptional support to our leadership team.


Requirements

To be successful in this role, you will need to possess the following qualifications and skills:


Education: High school diploma required; 1-2 years of experience as an administrative assistant, secretary, or receptionist preferred.
Organizational and Communication Skills: Excellent organizational, communication, and time-management skills, with the ability to work in a fast-paced environment.
Positive Attitude and Energy: A positive, high-energy attitude, with a strong ability to work collaboratively with team members.
Resourcefulness and Problem-Solving Skills: Resourcefulness, creativity, and problem-solving skills to navigate complex situations and find effective solutions.
Technical Skills: Familiarity with office equipment (e.g., printers, fax machines, projectors) and proficiency in Microsoft Office, particularly MS Excel and PowerPoint.
