Insurance Operations Specialist
Job Description:
• Manage day-to-day operational tasks for the insurance agency
• Prepare and process new client quotes across multiple insurance carriers
• Shop carriers and compare coverage options to prepare proposals for clients
• Follow up with insurance carriers and clients regarding quotes, applications, and policy updates
• Coordinate and manage policy renewals to ensure timely processing
• Maintain accurate client records and policy data within the agency's CRM system
• Assist with general office operations and administrative tasks
• Track communications and ensure all client inquiries are addressed promptly
• Support the CEO by managing operational details so leadership can focus on strategic initiatives
• Perform other tasks related to the position
Requirements:
• Proficient level of English (written and spoken)
• Experience in operations, customer service, data entry, administrative support or similar roles
• Experience with insurance carrier portals/websites is a plus
• Experience preparing insurance quotes or working with carriers is highly preferred
• Strong organizational and time management skills
• High attention to detail, accuracy, and initiative
• Tech-savvy and comfortable learning new systems, including agency management software and carrier portals
• Comfortable navigating multiple software systems
• Proactive in managing workflows and follow-ups
• Proficiency with Microsoft Office (Word, Excel, Outlook) and standard business tools (email, spreadsheets, document management)
• Out-of-the-box thinker, proactive, reliable, organized, detail-oriented, self-motivated, and confident approach
• Positive attitude and the ability to learn and adapt quickly
• Ability to understand and follow established processes accurately with minimal supervision
• Ability to work in alignment with U.S. Eastern Time (New York time) business hours for at least four hours
