Summary Implementation & Support Specialist, Procurement Manager & Quotation Executive (Singapore Distributor) Workload split: • 70% – Implementation & Support Specialist / Procurement Manager • 30% – Quotation Preparation & Ad-Hoc Administrative Tasks We are a distributor based in Singapore and we are looking for someone to handle 2 roles: 1/ For our Water Dispenser Line of Business (70% of the time) A/ IMPLEMENTATION & SUPPORT SPECIALIST Help the organization implement a new solution, create documentation, support the team and answer questions Once solution is live (should be live in February), admin work to update data and complete workflows. Please note that we will spend most of your time on the implementation of the solution. B/ PROCUREMENT - Prepare and issue purchase orders (POs) accurately and on time. - Follow up with suppliers to ensure on-time delivery. Supplier Management - Maintain supplier records - Monitor supplier delivery performance and escalate issues when needed. Internal Coordination - Work closely with technicians/warehouse on purchase planning and stock requirements. - work closely with Sales team to collect their sales forecasts - Ensure inventory levels align with operational needs. Supply Chain - Identify the best forwarder and follow closely shipments to ensure they arrive on time. Documentation & Compliance - Maintain accurate procurement files and records. C/ ADMIN - Currently with excel tracking: update the tracking file with forms submitted by technicians - Later with the new solution: update the system as well D/ FINANCE - Work closely with Finance lady: Record properly documents and ensure bills matches with the payments 2/ For our other line of businesses (30% of the time) A/ Sales Assistance Consists on preparing quotations B/ Ad hoc tasks (current scope) We need someone who is: - Accurate - Comfortable managing both suppliers and internal stakeholders. - Detail-oriented and disciplined with documentation and deadlines. - Keen and excited to learn a new business - Enjoys working with systems and helping others adopt new tools. Must be advance in: - Excel • ** Conditions: - Working Hours: Monday to Friday, from 9:30 AM to 6:30 PM - Break Time: A total of 1 hour - Public Holidays: We follow the Singapore public holiday calendar - Annual Leave: 10 days of annual leave per year.
