This role supports the People Operations function by managing vendor onboarding, purchase order processing, invoice coordination, and supplier governance for benefits vendors, including insurers, pension providers, and meal voucher suppliers.The role focuses on ensuring suppliers operate within agreed commercial, financial, and compliance frameworks. The new hire will work within established procurement policies and processes and applies judgement to resolve non-standard operational issues, escalating when appropriate.ResponsibilitiesBenefits Vendor Management & GovernanceSupports day-to-day governance of HR and benefits suppliers, primarily insurers, pension providers, and meal voucher vendorsMaintains accurate supplier records, contracts, and governance documentationMonitors supplier compliance with agreed terms, documentation requirements, and onboarding standardsActs as an internal point of contact for benefits-related vendor queries and operational coordinationSupplier Onboarding & Procurement CoordinationCoordinates supplier onboarding activities in line with Global Procurement and internal People policiesEnsures required vendor documentation is complete, accurate, and approved prior to engagementSupports HR procurement activities related to benefits vendors, within defined thresholds and processesApplies judgement to identify onboarding or procurement issues and escalates where appropriatePurchase Order & Invoice MonitoringCreates and manages purchase orders (POs) for benefits-related vendors in accordance with procurement and finance policiesPerforms PO receiving and tracking to ensure alignment with vendor invoicesCoordinates with Accounts Payable and vendors to support timely and accurate invoice paymentMonitors PO and invoice discrepancies and supports resolution within established processesOperational Compliance & Data IntegrityEnsures adherence to procurement policies, SOX requirements, data governance standards, and internal controlsMaintains accurate and auditable vendor, PO, and contract data across systemsSupports audit requests and compliance checks related to vendor management and procurement activitiesOperational Excellence & Continuous ImprovementExecutes work in accordance with documented ways of working, SLAs, and KPIsIdentifies opportunities to improve efficiency, reduce manual effort, and improve vendor governance processesSupports updates to knowledge materials, templates, and standard operating proceduresProject SupportParticipates in benefits-related vendor management or procurement projects of varying sizeSupports data gathering, reporting, and documentation for initiatives and reviewsRole RequirementsHR or People Operations background with experience supporting vendor management and procurement activitiesExperience working with HR Services (HRS) and benefits vendors, including insurers or retirement providersUnderstanding of purchase order processes, invoice workflows, and vendor onboardingComfortable working in policy-driven, compliance-oriented environmentsQualifications4+ years of related experiencePrior experience in HR operations, vendor management, procurement support, or HR shared services strongly preferredEquinix is committed to ensuring that our employment process is open to all individuals, including those with a disability.
