HR & Administrative Finance Associate
Overview:
We are seeking a dynamic and versatile individual to join our team in a multifaceted role encompassing Human Resources, Executive Administration, and Accounts Receivable functions. The ideal candidate will be highly organized, detail-oriented, and capable of managing diverse tasks efficiently.
Responsibilities:
Human Resources:
⢠Coordinate HR activities including recruitment, payroll, benefits administration, onboarding, and offboarding processes.
⢠Manage employee records, ensure compliance with company policies, and assist in HR-related inquiries.
⢠Facilitate employee training programs and support performance evaluation processes.
⢠Maintains knowledge of trends, best practices, regulatory changes, and new technologies in human resources, talent management, and employment law. ā
⢠Provide support and guidance to staff members.
⢠Design and implement employee retention strategies.
⢠Manage all payroll and unemployment state accounts.
Executive Administration:
⢠Manage and maintain all state licensing and insurance requirements, ensuring compliance with relevant regulations and laws
⢠Prepare, review, and coordinate legal agreements, contracts, and other official documents
⢠Provide comprehensive administrative support to the Executive Leadership, including calendar management, scheduling appointments, and travel arrangements
⢠Act as the primary point of contact for all internal and external stakeholders, professionally handling inquiries and requests
⢠Perform ad-hoc tasks and projects as assigned by Executive Leadership.
Accounting:
⢠Conduct reconciliation of all accounts on an as needed basis
⢠Maintain and balance the general ledger in an accurate, complete, and up-to-date manner
⢠Perform all activities related to the accounts payable function including reviewing, coding, and processing payments.
⢠Perform account receivable functions including invoicing, deposits, collections, and revenue recognition
⢠Sending and collecting invoices
⢠Other duties as assigned from our Accountant, CFO or executive leadership.
⢠Proficient skills in QuickBooks and Microsoft Excel
Qualifications:
⢠Bachelor's degree in Business Administration, Human Resources, or related field preferred.
⢠Proven experience in HR functions, executive administrative support, and accounts receivable.
⢠Strong organizational skills with the ability to manage multiple tasks and deadlines.
⢠In-depth knowledge of state licensing requirements and legal agreement procedures
⢠Proficiency in Microsoft Office Suite and familiarity with HRIS and accounting software. Experience in BambooHR will be preferred.
⢠Excellent communication skills and the ability to interact professionally at all levels.
