Freelance Event Coordinator - Hybrid Support
We are looking for a highly organized Freelance Event Coordinator to provide Hybrid Support for our upcoming event season. You will manage a mix of remote pre-event planning and on-site execution. This role requires a logistical mastermind who can handle vendor communications from home and lead on-the-ground operations on event days. Key Responsibilities:

Pre-Event (Remote): Coordinate with vendors, manage guest lists, and oversee registration workflows.
⢠*
Logistics: Create detailed event timelines and run-of-show documents for all stakeholders.
⢠*
On-Site Support: Lead the setup and breakdown of the venue, ensuring all branding and equipment are in place.
⢠*
Vendor Management: Act as the primary point of contact for caterers, AV teams, and decorators on the day of the event.
⢠*
Problem Solving: Handle any real-time issues or guest inquiries to ensure a seamless attendee experience.
⢠Requirements:
⢠*
Experience: 2ā4 years in Event Coordination, Project Management, or Hospitality.
⢠*
Skills: Strong negotiation skills and the ability to manage budgets effectively.
⢠*
Communication: Excellent verbal and written English for professional correspondence.
⢠*
Physical Stamina: Ability to stand for long periods and assist with light equipment moving during on-site days.
⢠Technical Requirements:
⢠*
Tools: Proficiency in project management software (Asana/Trello) and event platforms (Eventbrite/Cvent).
⢠*
Communication: Reliable access to Slack and Zoom for remote planning phases.
⢠*
Mobility: Must have a valid drivers license and reliable transportation to reach event venues.
⢠Work Details:

Shift: Flexible during planning phases; Full-day availability required on event dates.
⢠*
Schedule: Freelance/Project-based (Includes some weekends and evenings).
⢠*
Mode: Hybrid (70% Remote Planning / 30% On-site Execution).
⢠*
Compensation: Flat project fee or daily rate (Based on event scale).
⢠*
