Financial Planning Assistant

The Financial Planning Assistant will organize client financial documentation, assist advisors with client service responsibilities, and help create customized financial plans tailored to client needs. Responsibilities Establish and maintain new client accounts in the CRM database Generate, merge, and mail client welcome letters Assist in networking and maintaining direct business accounts Support the administration of data exchange between Portfolio Accounting and CRM systems Assist with scheduling meetings, appointments, and internal events Provide administrative support for new business processing Coordinate with advisors and team members to ensure timely task completion Support ad hoc projects and operational initiatives as assigned Perform accurate and timely data entry across multiple systems Assist with special projects, reporting, and operational improvements Provide backup support for other administrative roles as needed Contribute to process documentation and workflow optimization Provide an accurate summary of clients’ personal information and current financial position Provide an accurate current asset allocation Submit cases to the Roundtable on behalf of the Financial Advisors Coordinate and obtain recommendations from the Financial Advisor Gather and coordinate pertinent insurance materials and documents with the insurance department for review, as necessary Coordinate investment allocations and/or recommendations from investment department, as necessary Assist in the creation of other financial planning reports/analyses by utilizing financial planning software Incorporate analyses and recommendations into the Financial Plan Submit financial plans to the Planning Operations Manager or a Senior Financial Planner for final review before delivery to the Advisor and client Support the Financial Advisor or Financial Planner with Financial Plan completion tasks (e.g. printing, copying, binding, mailing) Record notes regarding client communications, inquiries, and actions related to planning Prepare reviews and maintain accurate information on all accounts (WEG & outside WEG), beneficiary information, RMD tracking, etc Submit review to Financial Advisor or Associate Financial Advisor on a timely basis for final review Record notes regarding client communications, inquiries, and actions related to reviews Skills Bachelor's Degree (or equivalent experience) in business; finance, economics or related Superior verbal and written communication skills Proficient with Microsoft Office Suite or related software Familiarity with Salesforce, e-Money, and/or Orion preferred Experience with Workday preferred Benefits Training and professional development Medical, dental and vision coverage (Available to full-time employees and their families) Health Savings Account (HSA) with employer contribution and Flexible Spending Accounts (FSA) for medical, dependent, and transit expenses Life and AD&D insurance – employer paid and voluntary options Short-term and long-term disability, workers compensation – employer paid 401k with match and profit sharing Wellness programs and resources Voluntary benefits, including pet insurance 18 days of paid time off (PTO), accrued annually (25 PTO days after 4 years of service) 12 paid holidays each year (10 pre-determined and 2 floating days) Paid parental leave and paid caregiver leave (Caregiver leave available after 6 months of tenure) Reimbursement for tuition, licensing, and other credentials (Available after meeting service requirements) Company Overview In 1997, four advisors sharing an office space discovered they also shared an essential belief: The financial services industry needed a new and better way to provide advice to clients—one that would help relieve stress from their clients’ financial lives.
