Job Summary
The Administrative Support Specialist - Secretary/Data Entry Clerk will perform a variety of administrative, secretarial, and clerical duties, including preparing documents, compiling reports, and maintaining accurate department files and records. The ideal candidate will have excellent communication skills, the ability to prioritize and organize multiple assignments, and a high degree of knowledge and application of department policies and procedures.

Primary Duties and Responsibilities

Perform various types of clerical and receptionist functions, including preparing copies, typing letters, memos, and other documents, and compiling and/or preparing reports
Receive and screen calls and visitors, responding to routine inquiries with standardized information
Open and route incoming mail, coordinate and prepare mail-outs, and maintain/updating distribution lists
Schedule patient appointments, arrange interpretation services, and maintain personal calendars for management personnel
Responsible for inventorying and ordering office supplies and equipment, and coordinating equipment repair/maintenance
Maintain accurate department files, logs, and records, including admission and census data, invoices, check requests, and time and attendance and payroll information
Compile reports/lists and statistical data, and perform simple calculations and information that is readily available
Assist patients with forms and applications, review for completeness, and make corrections of a routine nature
Practice proper safety techniques in accordance with arenaflex and departmental policies and procedures
Promote the continuous quality improvement process in all daily service issues and problem-solving opportunities
Maintain confidentiality with client records and sensitive issues or documents
Communicate regularly with departmental staff and management on a daily basis


Essential Qualifications

One (1) year of clerical/secretarial/customer service experience OR experience may be offset by an Associate's or Bachelor's degree
Good communication skills
Ability to follow detailed instructions
Level of proficiency in MS Office (Word, Excel, and PowerPoint) varies by department
Typing requirements vary by department


Preferred Qualifications

Post-high school education
Prior healthcare experience
Two (2) years of college with emphasis in accounting or business
Two (2) years of experience in accounts payable or purchasing
Demonstrated ability to set priorities and work independently
Successful completion of a course in Medical Terminology (depending on the amount of medical transcription required for the assigned area)
Bilingual - Spanish/English
