Executive Assistant, Remote

Remote Full-time
The Executive Assistant role performs a variety of administrative tasks, including scheduling appointments, compiling or preparing reports, booking travel, planning meetings, managing communications, supporting the Growth (Sales & Marketing) Executive Leadership team. The role facilitates the effectiveness of Aledade’s Growth Executive Team through collaboration with clients and colleagues in a fast-paced environment.

We are flexible with respect to geographic location, and the ideal candidate will be comfortable working remotely within the US (with a strong preference for candidates located in Eastern time zones).

Primary Duties
• Administrative Support: Provide administrative support, including coordination of travel arrangements and itineraries; supporting onboarding and offboarding efforts of employees; preparing and submitting expense reports; coordinating logistics for meetings and special events; assisting with company events and team retreats
• Calendar Management: Strategically manage calendars, including internal and external commitments; ensure that schedules and meeting governance are followed and respected to optimize schedules & meeting conflicts are proactively resolved
• Project Coordination and Reporting: Oversee and manage special projects, initiatives and reporting, ensuring timely completion and alignment with business objectives Maintain and monitor project timelines, deliverables, and milestones, providing regular updates to the executives
• Communication: Prioritize and track inbound communication to assigned executives — including meeting requests, information requests, etc.
• Process Documentation and Improvement: Develop and maintain standard operating procedures (SOPs) and Process Improvements for administrative tasks and responsibilities

Minimum Qualifications
• 6+ years of relevant work experience, with 3+ years of direct experience as an executive administrative assistant
• Ability to work travel within the US up to 25%
• Available to work across various time zones and/or non-traditional working hours on occasion, as needed

Preferred KSA's
• In-depth understanding of executive team operations
• Strategic and forward-thinking
• Ability to manage complex calendars and negotiate scheduling across multiple executives
• Excellent verbal and written communication skills
• Strong organizational and time-management skills; attention to detail and problem-solving skills
• Hands on experience with Google Suite preferred
• Handle sensitive information with the highest level of confidentiality and discretion
• Ensure compliance with company policies and procedures, particularly regarding data privacy and security

Physical Requirements
• Sitting for prolonged periods of time. Extensive use of computers and keyboard. Occasional walking and lifting may be required.
• Available to work across various time zones and/or non-traditional working hours on occasion, as needed
