Overview

Job Duties

Under the direction of the manager, coordinates the day-to-day administrative support activities in the Department/Division. Organizes and performs all office and clerical support services within the Department/Division. May act as an intermediary for the department.

Responsibilities

Essential Functions
• Organizes and performs all office and clerical functions including, but not limited to, setting appointments, scheduling meetings, answering the telephone, taking and transcribing meeting minutes.
• Organizes and maintains Department records, reports, minutes to meetings and other related documents. Ensures the scheduling in advance of adequate rooms, reservation and delivery of needed equipment and catering of food, when appropriate, for meetings and training sessions.
• Provides administrative support to faculty and staff in Department of Community Health and Family Medicine.

Skilled in researching, writing, preparing reports, and creating presentations.
• Assist in preparation, submission and/or maintenance of administrative documents and forms for satellite physicians.
• Assists in organizing and maintaining all travel documentation and reports; vacation and leave requests for satellite physicians.
• Coordinates Kronos time and attendance for the Department of Community Health and Family Medicine and Ambulatory care Services staff.
• Performs other administrative duties as directed.
• Monthly preparation of CHFM Administrative portion (New hiring of provider photos, clinic openings, special events) of billboard outside of office.
• Participate in Division Manager's meeting in the absence of the Administrative Manager II and follow-up on information provided.
• Additional duties as assigned.

Qualifications

Experience Requirements

Required

3 years Senior administrative experience required

3 years Microsoft Office required

Preferred

3 years Academic healthcare system experience preferred

Education Requirements

High School Diploma or GED required

Associates preferred
