Executive Assistant focused on Projects, Research, and Outreach
I run a small team of 5 core employees and nearly 25 contracted trainers and developers who power Coach Training EDU, a life coach training school. We're a dedicated team, and I'm looking for an Executive Assistant who can help organize extremely logistical aspects, (for example, basic financial reports) to helping talk through strategic next steps (for example, what topics to explore next in an ongoing media project).
I have lists of ideas waiting to be implemented and would love to have an assistant work closely with testing viability of certain ideas and projects. Some of the core tasks would be:
- Tracking current projects and priorities (largely on track, but project management is key)
- Research new ideas and opportunities
- Organize files and information
A large part of those ideas entails reaching out to people. I need someone who actively likes researching potential contacts and reaching out. I could see elements being:
- Identify people who share similar clients for joint marketing
- Research and pitch segments for possible podcast guest appearances
- Connect with entrepreneurs for articles
I also need someone to be able to take transcripts from strategy and creative sessions, extract interesting angles and ideas and run with possible topics to explore. And then do that initial exploration. Aspects of that would be:
- Review session transcripts for key themes
- Research emerging trends in coaching
- Explore new topics in positive psychology
- Find credible sources for content ideas
Things to also note about the position:
- I prefer to use Upwork's time tracker
- You need to be available for a standing 30-minute meeting Monday-Thursday around 10am Pacific time.
- You need to be comfortable showing up on zoom with video and a solid internet connection.
- Part of this position is connecting with Brittany, my VP, and Ariel, Director of Marketing. I need someone who can also translate projects and asks from different areas into a consolidated list for me.
- I'd like to start with 10 or 20 hours a week and expand to full time if the projects evolve and it works out.
About my team and organization: We are a life coach training organization, offering online training to people interested in working in the professional, wellness, and academic life coaching fields. We train and certify individual coaches, as well as groups of professionals from organizations, colleges, and universities, in our three accredited and research-based life coach training programs.
