Executive Assistant & Chief of Staff — Work directly with the founder of a fast-scaling intimates brand
Hey, I'm Alex, founder of Hilaine.
We're a rapidly growing intimates and shapewear brand and we've hit the point where I just can't keep running most parts of this operation alone. The momentum is huge, the growth is crazy, but the bottleneck is me. I simply can’t be everywhere for everyone all the time. That is why I'm hiring.
A bit about us: Hilaine is built around quality, comfort, and making women feel extraordinary in their own skin through what they wear. We're not just another intimate brand, what we're building has real people, community and vision behind it. I want this role to be the backbone of how Hilaine scales and I need someone as obsessed as myself to help me build it right.
Why this role exists:
Right now I'm personally managing a lot of my day to day repetitive tasks, chasing email threads, tracking vendor and partner relationships, prepping for creative and commercial conversations, and keeping tabs on a dozen moving projects at once. It's working but it's the bottleneck stopping us from getting to the next level. I need someone to own this with me and see and know how and who I work with so I can focus on what only I can do.
What you'll be doing:
• Manage inbound and outbound communications: triage emails, draft responses, follow up on open threads
• Track and coordinate ongoing projects across teams, vendors, and partners, on time and on brief
• Prepare briefs, decks, and research ahead of meetings so I can walk in fully informed, every time
• Identify operational gaps and ideate systems to close them before they become problems
• Be my right hand man/woman, see what I see, hear what I hear on the daily and help me manage it and execute while I can focus on what only I am able to do
Who I'm looking for:
• Someone who is always two steps ahead, you've already anticipated the problem before anyone says it out loud and you share them with me and help me get my attention to certain things and execute solutions
• Calm under pressure or bottlenecks. When things move fast, you get clearer, we are scaling really fast and there is new stuff almost everyday.
• A strong written communicator, your emails sound like a person, not a template.
• Very autonomous
• You handle sensitive information the way it deserves to be handled
• Most importantly: someone who genuinely cares about building a brand women are proud to wear and talk about
