They are seeking a dedicated Executive Assistant to provide professional administrative and operational support to senior leaders, ensuring effective communication and workflow within the organization.ResponsibilitiesStrategically coordinating schedules, projects, balancing meetings, and ensuring the Firm Director can attend to the most pressing issues, highest leverage activities, and big-picture goals. Anticipate needs and identify potential challenges, proactively implementing solutions to keep work moving forward, even when not in officeAnticipate scheduling conflicts and proactively adjust plans to maximize the Firm Director’s effectiveness. Coordinate meetings and commitments across teams and offices, ensuring appropriate preparation and follow-throughAssist the Firm Director in tracking key initiatives, deadlines, and action items to ensure progress and accountability. Coordinate projects and cross-team efforts to maintain alignment and momentum. Support follow-up with stakeholders to ensure commitments and deliverables are completedDraft, proofread, and articulate executive-level correspondence for clarity, conciseness, spelling, grammar, and punctuation. Serve as a point of coordination between the Director and staff across the organization to facilitate effective communication and workflowResolve competing priorities gracefully. Must engage with all employees with a positive and supportive demeanor when addressing difficult and stressful matters or sensitive topics. Responsible for all standard administrative office tasks including answering phones, faxing, filing, data entry, invoicing support, document creation, assisting with meeting logistics, creating and maintaining client and firm-related data spreadsheets, and maintaining organized digital and physical recordsHandle privileged and confidential information with the highest level of discretion and professionalism. Exercise independent judgment and professionalism when addressing sensitive issues. Respond and execute responsibilities independently and when requiredContinuous learning: staying informed and adapting evolving social dynamics to better engage and collaborate with colleagues from all backgrounds.
