The ideal candidate thrives in a fast-paced environment, demonstrates exceptional organizational abilities, and possesses strong business acumen. This role requires someone who can anticipate needs, manage complex calendars, and serve as a trusted partner to our leadership team while maintaining the highest level of professionalism and confidentiality.Key Responsibilities: Executive SupportProvide dedicated administrative support to multiple C-level executives, managing their daily operations and prioritiesCoordinate complex calendar management, including scheduling meetings, resolving conflicts, and ensuring executives are properly prepared for each engagementHandle sensitive information and communications with discretion and professionalismArrange domestic and international travel, including comprehensive itineraries, accommodations, and necessary documentationDraft and edit correspondence, presentations, and other business documentsFacilitate effective communication between executives and internal/external stakeholdersOffice ManagementSupport office operations and maintenance, ensuring a professional work environmentSupport office supplies, vendors, and service providersCoordinate office moves, renovations, or space planning as neededAssist in organizing company events, meetings, and team-building activitiesSupport onboarding processes for new executive team membersProject ManagementLead and coordinate special projects as assigned by executive teamTrack project milestones and ensure timely completion of deliverablesPrepare and distribute meeting minutes and follow up on action itemsAssist in the preparation of board meetings and executive presentationsManage expense reports and budget tracking for executive teamRequired Qualifications:5+ years of experience as an Executive Assistant, preferably supporting multiple executives; including C-suite level executivesExceptional organizational skills with demonstrated ability to manage competing prioritiesAdvanced proficiency in Google WorkspaceOutstanding written and verbal communication skillsProblem-solving mindset with strong attention to detailWhat We’re Looking For:Ability to maintain strict confidentiality and exercise discretionExcellent judgment and decision-making capabilitiesStrong interpersonal skills and professional demeanorProactive approach to anticipating needs and resolving issuesFlexibility to adapt to changing priorities and deadlinesAbility to work independently and as part of a teamOccasional early morning or evening availability requiredIn office and at event support requiredOccasional travel may be requiredFast-paced environment requiring ability to manage multiple concurrentprojectsBeware of job scam fraudsters!
