Event Coordinator - Hospitality & Events

Our client is seeking a creative and detail-oriented Event Coordinator to join their thriving hospitality and tourism division. This fully remote role offers an exciting opportunity to manage and execute a variety of events from inception to completion, ensuring seamless experiences for clients and attendees. You will be responsible for liaising with clients to understand their event needs, developing event concepts, creating detailed event plans, and managing budgets. Key responsibilities include coordinating venue selection, vendor management (catering, décor, entertainment), event logistics, and on-site support (where applicable through local event staff or virtual oversight). The ideal candidate will possess excellent organizational and time-management skills, with a proven ability to multitask and thrive under pressure. Strong interpersonal and communication skills are essential for building rapport with clients, vendors, and internal teams. Experience with event planning software and a thorough understanding of the hospitality and events industry are highly desirable. You will also be responsible for managing event timelines, troubleshooting issues that arise, and ensuring that all events meet client expectations and budget requirements. Responsibilities: Plan, organize, and execute a variety of events, ensuring all details are handled meticulously. Liaise with clients to understand their event requirements, objectives, and budget constraints. Develop comprehensive event proposals, timelines, and budgets. Source and manage relationships with vendors, including venues, caterers, decorators, and entertainers. Coordinate event logistics, including scheduling, setup, and breakdown. Oversee event execution, ensuring smooth operation on the day of the event (may involve remote oversight or coordination with on-site staff). Troubleshoot and resolve any issues that may arise before or during events. Manage event marketing and communication efforts as needed. Conduct post-event evaluations and gather feedback to improve future events. Maintain accurate event records and financial documentation. Stay current with event industry trends, best practices, and innovative ideas. Ensure all events comply with relevant health, safety, and legal regulations. Build and maintain strong relationships with clients and key stakeholders. Qualifications: Bachelor's degree in Hospitality Management, Event Management, Marketing, Communications, or a related field. 2+ years of experience in event planning and coordination, preferably within hospitality or tourism. Demonstrated ability to manage multiple projects simultaneously and meet deadlines. Excellent organizational, time management, and problem-solving skills. Strong interpersonal and communication (written and verbal) skills. Proficiency with event planning software and project management tools. Familiarity with budgeting and financial management for events. Creative thinking and a passion for creating unique experiences. Ability to work independently and collaboratively in a remote environment. Knowledge of current trends in the hospitality and events industry.
