Event Coordinator
Description
The Event Coordinator supports the planning and execution of Argano’s business events, including conferences, sales programs/roadshow, and executive/partner engagements. This role is highly detail-oriented, operationally focused, and critical to delivering high-quality event experiences that align with Argano’s brand and business objectives across our Oracle, Microsoft and SAP practices.
Job Responsibilities
Coordinate event logistics including registration, travel, lodging, catering, shipping, and on-site support
Maintain detailed project plans, timelines, and checklists for assigned events
Support agenda execution and run-of-show documentation
Manage speaker logistics, communications, and prep materials
Coordinate with vendors such as venues, AV, production, and catering partners
Track contracts, Pos, invoices, and payments in partnership with AP and Finance
Support sponsor and partner deliverables as needed
Manage event tools (survey monkey, FedEx, spectra, Vista Print)
Track attendee data, session attendance, and engagement metrics
Maintain organized event documentation and file organization on drives
Provide on-site execution support including registration, speaker support and logistics troubleshooting
Support virtual event execution as needed
Act as a key point of contact during events days for operational needs
Collect and organize post-event data and feedback
Support post-event reporting and recap materials
Document learnings and process improvements
Required Qualifications
4+ years of experience coordinating events, meetings, or marketing programs
Strong organizational skills and attention to detail
Ability to manage multiple projects and deadlines simultaneously
Excellent written and verbal communication skills
Comfort working with cross-functional teams and external vendors
Willingness to travel and support on-site events as needed
