Event Coordinator

As an Event Coordinator, you will provide logistical support for corporate events, managing attendee requirements and assisting Event Managers in planning and executing various events. Responsibilities Manage all attendee requirements, including the development of the registration website, management of all attendee lists, and individual communication with attendees Lead quality control of participant information and registrations Support all aspects of event planning while adhering to tight deadlines and working within the scope of the budget Attend, participate in, and manage on-site client meetings and communications as required Assist Event Managers with the development and delivery of events, meetings, and incentive travel programs, including communications with suppliers, vendors, venues, logistics, air travel, and stakeholders Source suppliers and vendors, negotiating for best value as required Gather and disseminate information to relevant stakeholders, such as contact reports, timelines, commitments, etc Assist with site inspection logistics and confirm on-site event staffing requirements, including coordination and finalization of on-site workroom requirements Provide on-site assistance with event execution as needed Assist with post-event reconciliation, including verification of final supplier billings Complete additional tasks and responsibilities to ensure successful delivery of events according to scope and/or at Event Managers' request Skills 1-3 years of corporate event experience CVENT experience is an advantage, including knowledge with event registration, attendee management, on-site solutions, event website creation, report generation, and utilizing CVENT tools for seamless event execution Proven ability to meet tight deadlines while handling multiple projects simultaneously in a fast-paced environment with changing priorities Strong technical skills with proficiency in Microsoft Office Suite and MS Dynamics (Word, PowerPoint, Outlook), and excellent proficiency in using Microsoft Excel to prepare monthly spreadsheets and reconcile supplier and client contracts, with a capacity to easily learn and adapt to new technologies Excellent interpersonal, planning, organization, presentation, and professional communication skills (written and verbal) Ability to work cross-functionally and collaboratively with suppliers, vendors, and clients to plan, execute, and deliver on-site events Flexibility in work schedule, including willingness to work early mornings, evenings, weekends, holidays, and travel as required Being fluent in French (speaking and writing) is an asset Benefits Flexibility: A hybrid work model and flexible vacation offers agility to meet the needs of our global business and workforce, allowing us to inspire the best from our people.
