Position Overview
We are seeking a detail‑oriented Data Entry Specialist on a contract (potentially contract‑to‑hire) basis to join our Dallas, TX team. This role focuses on the end‑to‑end processing of incoming billing invoices, accurate data capture, and maintenance of comprehensive billing records. The ideal candidate thrives on repetitive precision, enjoys working with a variety of software tools, and can communicate effectively with internal stakeholders to resolve data discrepancies.

Key Responsibilities

Invoice Intake & Classification: Receive incoming billing invoices via mail or electronic channels, identify the corresponding client/property/resident, and accurately tag each invoice for proper routing.
Scanning & Digital Archiving: Scan physical invoices to create high‑resolution electronic images, store them in designated folders, and ensure that all relevant parties have timely access.
Data Entry & System Updates: Enter invoice details into multiple applications, including billing platforms, CRM systems, and internal tracking tools, ensuring all fields are populated correctly.
Log Maintenance: Create and maintain logs for invoice tracking, noting receipt dates, processing status, and any follow‑up actions required.
Data Quality Assurance: Perform regular audits of entered data, identify discrepancies, and correct errors in collaboration with supervisors.
Discrepancy Reporting: Alert supervisors immediately when inconsistencies or missing information are detected, providing clear documentation of the issue.
Excel Data Manipulation: Utilize advanced Excel functions (VLOOKUP, INDEX/MATCH, pivot tables, conditional formatting) to reformat data for seamless import into the billing system.
Schedule‑Based Retrieval: Follow a predefined schedule to retrieve bills from web portals, generate electronic images, and store them in the correct repository.
Database Management: Update a centralized database tracking each invoice’s availability, receipt method, and processing timeline, and assist in locating any missing documents.
Process Improvement: Contribute ideas for streamlining invoice handling, reducing manual steps, and increasing overall data accuracy.


Essential Qualifications

High school diploma or GED required; associate degree or higher preferred.
Minimum of 1‑2 years of professional data entry, billing, or administrative experience.
Exceptional attention to detail with a proven track record of delivering error‑free work.
Proficiency in Microsoft Office Suite, especially Excel (knowledge of VLOOKUP, pivot tables, data validation).
