Role Overview
This is a 3‑month contract (with the possibility of extension) on a W2 basis. You will join a collaborative team that manages central mailboxes, tracks key business‑process tasks, and maintains comprehensive documentation for ongoing initiatives. The position offers a blend of administrative precision, analytical insight, and proactive communication.

Key Responsibilities

Central Mailbox Management: Own the day‑to‑day operation of shared mailboxes, triage incoming requests, update coverage and assignment matrices, and ensure mailbox hygiene.
Tracking Mechanism Development: Design, implement, and continuously refine tracking tools (spreadsheets, dashboards, or lightweight databases) for critical business‑process tasks and workstreams.
Data Extraction & Transcription: Identify relevant data points from diverse formats—including emails, templates, and scanned forms—and accurately transcribe them into centralized tracking systems.
Data Analysis & Follow‑Up: Review tracking data to spot gaps, overdue items, or inconsistencies; proactively engage owners to resolve issues and keep workstreams on schedule.
Meeting Documentation: Capture detailed meeting notes, summarize discussion points, and track action items; assist in follow‑up communications to ensure accountability.
Process Improvement: Recommend enhancements to mailbox workflows, tracking mechanisms, and documentation standards based on observed inefficiencies.
Collaboration: Partner with project coordinators, business analysts, and IT support staff to align data entry activities with broader project timelines.


Essential Qualifications

Proven experience in data entry, administrative support, or a similar role that required meticulous attention to detail.
Demonstrated ability to manage multiple email inboxes, prioritize requests, and maintain organized assignment matrices.
Strong proficiency with Microsoft Office Suite—especially Excel (pivot tables, formulas) and Outlook.
Excellent written communication skills; ability to summarize complex information clearly and concisely.
Analytical mindset with the capacity to interpret tracking data and identify actionable insights.
Self‑starter attitude; comfortable working independently while also thriving in a team environment.
Reliable internet connection and a quiet workspace suitable for remote contract work.
