Data Entry Clerk Job Description

Position Overview: A Data Entry Clerk is responsible for inputting, updating, and maintaining data in computer systems and databases. This role requires high attention to detail, accuracy, and the ability to work with large volumes of data. The Data Entry Clerk will work closely with various departments and ensure that all information is entered into the system in a timely and accurate manner.

Key Responsibilities:
• Data Input:
• Enter and update data into the company’s database or management systems.
• Ensure that all data entered is accurate, complete, and up to date.
• Data Verification:
• Review and verify data for errors or discrepancies.
• Perform regular checks and audits to ensure data integrity.
• Data Management:
• Organize and maintain data files, records, and documentation.
• Keep data secure and confidential as required by the organization.
• Report Generation:
• Prepare and generate reports based on the entered data as requested.
• Assist in the preparation of monthly, quarterly, and annual data reports.
• Administrative Support:
• Assist with office tasks such as filing, scanning, and organizing documents.
• Communicate effectively with other departments to resolve data-related issues.
• Data Processing:
• Process customer orders, forms, and inquiries in the system.
• Maintain and update databases for various functions like inventory, payroll, or customer information.
• Collaboration:
• Work closely with other team members to ensure data is accurate and processed efficiently.
• Provide data support to other departments when needed.

Skills and Qualifications:
• Proven experience in data entry or related administrative tasks.
• Proficient in Microsoft Office Suite (Excel, Word, Outlook).
• Experience with data management software and CRM systems (e.g., Salesforce, SAP) is a plus.
• Strong typing skills with a high level of accuracy (typically 50-70 WPM).
• Ability to work independently and as part of a team.
• Excellent attention to detail and organizational skills.
• Ability to handle confidential information with integrity.
• Strong communication skills, both written and verbal.
• High school diploma or equivalent; additional certification or training is a plus.

Work Environment:
• Typically office-based but can also be remote, depending on the company’s structure.
• May require long hours of sitting and repetitive data entry tasks.
• Occasional overtime may be required to meet deadlines.
