As a Data Entry & Calibration Specialist at arenaflex, you will be the guardian of critical information that tracks equipment status, maintenance schedules, certification expirations, and calibration results. Your work ensures that the data flowing through our systems is trustworthy, up‑to‑date, and ready for analysis by engineers, compliance officers, and senior leadership. By maintaining the highest standards of data quality, you help prevent costly downtime, support safety audits, and enable predictive maintenance strategies that keep our clients ahead of the curve. Key Responsibilities Data Capture & Entry : Accurately input equipment specifications, calibration results, maintenance logs, and certification details into arenaflex’s enterprise resource planning (ERP) system. Data Validation : Perform routine audits of newly entered records to verify completeness, correct formatting, and alignment with established data standards. Error Identification & Correction : Detect inconsistencies, duplicate entries, or missing fields; investigate root causes and resolve issues promptly. Calibration Documentation : Review calibration certificates, confirm traceability to national standards, and update system records to reflect the latest verification dates. Expiration Monitoring : Set up automated alerts for upcoming certification expirations, schedule re‑certifications, and communicate timelines to relevant stakeholders. Reporting & Analytics Support : Generate routine reports on data quality metrics, calibration status, and equipment compliance for internal and client‑facing dashboards. Process Improvement : Suggest and implement enhancements to data entry workflows, validation scripts, and documentation practices to increase efficiency and reduce error rates. Cross‑Functional Collaboration : Partner with field technicians, quality assurance teams, and IT specialists to ensure seamless data flow across the organization. Regulatory Compliance : Maintain awareness of industry regulations (e.g., OSHA, ISO 9001) that impact data handling and ensure all records meet required standards. Training & Knowledge Sharing : Mentor new team members on best practices, data standards, and the use of specialized software tools. Essential Qualifications High school diploma or equivalent; associate’s degree in Business Administration, Information Management, or a related field preferred. Minimum of 2 years of experience in data entry, records management, or calibration documentation within an industrial or technical environment. Demonstrated attention to detail with a proven track record of achieving error‑free data entry rates of 99% or higher. Proficiency with Microsoft Office Suite (Excel, Word, Outlook) and familiarity with ERP or CMMS platforms (e.g., SAP, Infor, Maximo). Strong organizational skills; ability to prioritize multiple data streams and meet strict deadlines. Excellent written and verbal communication skills, enabling clear interaction with technical and non‑technical team members. Basic understanding of equipment calibration concepts, certification processes, and industry regulations. Reliability and a commitment to maintaining confidentiality of sensitive operational data. Preferred Qualifications & Additional Skills Experience with data validation tools, scripting languages (e.g., VBA, Python), or automation platforms. Certification in quality management (e.g., CQIA, Six Sigma Green Belt) or calibration (e.g., NIST traceability). Familiarity with relational databases and SQL querying for data extraction and reporting. Previous exposure to lean or continuous‑improvement initiatives within a manufacturing or field‑service context. Ability to interpret technical drawings, schematics, and calibration certificates.
