Job Description The CRM Data Specialist performs data support activities through the complete and accurate collection, maintenance, manipulation, and reporting of student admissions data as well as clerical and administrative work related to processing student applications and reports. The Specialist quality assures all data entered by identifying and correcting discrepancies. Essential Job Functions and Responsibilities: Employment duties include, but are not limited to: • Assist in the setting up and testing of the applications for Undergraduate and Graduate student audiences, including working with vendors and building Slate applications • Facilitate and execute quality control measures for data integrity, resolving issues where needed • Run import/export process for various mass data entry loads from third party systems and vendors; edit large data sets to ensure accuracy on up-loads; bridge information on a daily basis from CRM to Banner and certify accuracy and integrity of the data; identify and report potential conversion problems, difficulties or challenges • Assist with managing Operations student workers and task assignments • Retrieve online applications and application credentials • Complete document imaging, indexing, and data entry of application credentials; mark the proper notation on file folders; prepare files for the Registrar’s Office • Back-up to maintaining and disseminating the Weekly Report • Oversee the smartsheet ticketing system and automation of rules • Troubleshoot and resolve minor bridge issues between Slate and Banner • Other duties as assigned: • Monitor filing system and inventory needs, both internally and at the campus warehouse • Responsible for back-up of telephone duties • Back-up to entering enrollment deposits, reconciliations of monies received, and uploading applications into CRM • Saturday hours (on a rotating basis with all other operations staff during academic year) • Communicate frequently with outside vendors during implementation of data transmittal • Run weekly discrepancy checks for data integrity • Run monthly audits on mappings to ensure applications are being processed efficiently • Perform imports and exports as needed, i.e., weekly ERA files, Raw data, etc. • Perform other data processing duties • Open and disperse mail • Sort, organize, and match application credentials of prospective students • Perform other site and position specific duties as assigned Required Knowledge, Skills, and Abilities: The knowledge, skills, and abilities for this role include: • Knowledgeable in use and structure of databases and spreadsheets software • Some knowledge of student information systems and/or personnel/payroll systems • Ability to develop reports using queries • Ability to provide report information in spreadsheet, graph, and table format • Ability to maintain confidentiality • Skilled in all areas of Windows, Microsoft Outlook, Microsoft Office, etc. • Support the University’s Mission and Values in their role Required Qualifications: This position requires: • High school diploma, or GED or equivalent certificate of competency, supplemented by two years of business college with course work or three (3) years of experience in a wide scope of modern office procedures and practices, or an equivalent combination of training and experience • Desire to join a distinct university community committed to inclusive excellence, kindness, and collaboration, as it seeks to move Forward Together in making our community and world a better place Pay Grade: 5 Work authorization sponsorship may be available for this position. However, sponsorship is contingent upon the non-applicability of the visa petition fees outlined in the relevant Executive Order signed September 19, 2025. Due to the recent federally-mandated increased financial expense, the university is not in a position to absorb this significantly increased cost of sponsorship for new H-1B petitions at this time.
