Job TitleContracts and Compliance AdministratorJob Description SummaryThe Contracts & Compliance Administrator is responsible for the ongoing management, administration, performance, and compliance of an assigned portfolio of approximately 100 active service vendors. Unlike vendor onboarding roles that focus on sourcing and initial setup, this position owns the post onboarding lifecycle of vendor relationships.This role serves as the primary point of contact for vendors once onboarded, overseeing contract execution and maintenance, compliance adherence, payment coordination, performance quality, and continuous improvement. The Contracts & Compliance Administrator works cross functionally with Vendor Onboarding, Dispatch / National Operations Center, Finance, and Operations teams to ensure vendors remain compliant, responsive, cost effective, and aligned with service level expectations.This position reports to a manager overseeing a team of Contracts & Compliance Administrators and plays a critical role in protecting the company from operational, financial, and liability risks while ensuring high quality vendor performance.Job DescriptionKey ResponsibilitiesVendor Relationship & Account ManagementServe as the primary relationship owner for an assigned portfolio of ~100+ active vendorsMaintain strong, professional vendor partnerships focused on reliability, service quality, and responsivenessAct as the escalation point for vendorârelated issues including performance, compliance gaps, payment disputes, or operational concernsPartner with Dispatch / National Operations Center to ensure vendors are engaged, responsive, and appropriately utilizedContract Administration & ManagementDraft, review, execute, and maintain vendor contracts, amendments, and service agreementsManage contract lifecycle activities including renewals, updates, terminations, and documentation controlPartner with internal stakeholders to ensure contract terms align with operational and financial requirementsEnsure contract terms, rates, and service scopes are clearly documented and enforcedCompliance, Risk & Safety OversightEnsure ongoing vendor compliance with insurance requirements, certificates of insurance (COIs), bonding, licenses, and regulatory standardsMonitor adherence to safety, environmental, and risk management requirementsCoordinate background checks, drug testing, and other required compliance activities as applicableProactively identify and remediate compliance gaps to mitigate liability and operational riskConduct or coordinate audits, drills, or testing requirements to validate vendor readiness and compliancePerformance Management & Quality AssuranceMonitor vendor performance against established service level agreements (SLAs) and quality standardsTrack and evaluate performance metrics including service quality, response time, callbacks, billing accuracy, and customer satisfactionLead performance reviews and corrective action discussions with vendors as neededPartner with internal teams to address quality concerns and implement improvement plansFinancial Oversight & Cost ManagementPartner with Facilities Hub Finance on vendor payment execution and resolve invoicing or billing discrepanciesPartner with Facilities Hub Finance to ensure vendors are paid accurately and timely according to contract termsSupport rate negotiations, cost reviews, and costâreduction initiatives where appropriateMonitors spend trends, discounts, rebates, and aggregation opportunitiesCrossâFunctional CollaborationWork closely with Vendor Onboarding to ensure smooth handoff of newly onboarded vendorsCollaborate with Dispatch / Operations to support vendor utilization, coverage, and service executionPartner with Finance and Accounts Payable on payment accuracy and issue resolutionCommunicate risks, trends, and performance insights to leadershipDocumentation & ReportingMaintain accurate vendor records, documentation, and compliance trackingEnsure vendor data integrity across systems and platformsProvide reporting on compliance status, performance metrics, and vendor riskQualificationsRequired5+ years of experience in vendor administration, vendor management, contract administration, or supplier managementExperience managing a large portfolio of external vendors or service providersStrong understanding of contract lifecycle management and compliance requirementsWorking knowledge of insurance, COIs, licensing, and vendor risk managementProven ability to manage multiple priorities in a fastâpaced, highâvolume environmentStrong communication and negotiation skillsDetailâoriented with strong documentation and followâthrough capabilitiesAbility to collaborate effectively across operations, finance, and compliance teamsPreferredExperience in facilities management, maintenance, construction, or serviceâbased industriesFamiliarity with vendor management systems, contract management platforms, or compliance toolsExperience supporting audits, safety programs, or regulatory compliance initiativesExperience participating in vendor rate negotiations or costâreduction initiativesRemote Work RequirementsHighâspeed internet (150-300 mbps. download) is required for this role.
