The Conference Planner is responsible for managing bookings for One-on-One meetings with Gartner Experts, ensuring an exceptional experience for attendees, and collaborating with various teams to maintain an efficient scheduling system.ResponsibilitiesEnsure an exceptional experience for all conference attendees having a One-on-One meeting with an ExpertSet up the online One-on-One scheduling system for each conference, working with the program management team and content team to ensure the agenda is up to dateContinuous capacity planning, ensuring expert resource is utilized effectivelyWork with the operations team on space requirementsManage team mailboxes ensuring all internal and external queries have been answered in a timely mannerPartner with Research to confirm all One-on-One bookings are well alignedManage all team meeting inquiriesTravel to in person conferences and manage the scheduling desk and check-ins for all meetingsManage set up and monitor/support attendees during virtual conference days via the mailbox and live chat toolPoint person for Expert care pre-conference and on siteBuild productive relationships with internal and external clients, helping to support and train Gartner associates on the scheduling systemEffectively communicate, collaborate, and maintain relationships with clients and team participantsAdhere to expense management practicesHelp in the production of the Expert bio brochure which is shared with Marketing and Communications pre-conference and distributed at the conferenceComplete all post conference analysis of the One-on-One meetingsSkillsBachelor's degree, preferredExperience working in a corporate environmentAbility to manage multiple tasks simultaneously and prioritize workloadStrong client focused, customer service skillsTeam player – reliable and accountableHigh sense of urgencyStrong oral and written communication skillsStrong organizational skillsAbility to work issues through to resolutionAttention to detailProactiveDecisiveCommunicative and collaborativeFully competent in Microsoft Office, specifically excelCompetent Project ManagerApproximately 10-15% travel to client meetings and events is requiredBenefitsGenerous PTOA 401k match up to $7,200 per yearThe opportunity to purchase company stock at a discountCompany OverviewGartner provides fact-based consulting services, helping clients use and manage IT to enhance business performance.
