College of Arts and Letters College Care Coordinator (Administrative Support Coordinator, II)
SDSU Alumni is seeking a College Care Coordinator for the College of Arts and Letters, which plays a vital role in faculty support and operational efficiency. The coordinator will manage procure-to-pay operations, faculty hiring processes, and startup fund coordination, ensuring compliance and providing exceptional support to faculty and departments. Responsibilities Coordinate purchase requisitions, purchase orders, procurement card transactions, and vendor interactions to support faculty, departments, programs, and special events, ensuring compliance with university policies and best practices Initiate, track, and monitor faculty contracts and related hiring documentation, serving as a point of contact for departments and faculty throughout the onboarding and employment process Partner directly with new faculty to manage startup funding, coordinate allowable purchases, track expenditures, and provide proactive reporting to ensure funds are used appropriately and within established timelines Maintain accurate procurement records, monitor expenditures across various funding allocations, and prepare reports to support fiscal transparency and informed decision-making Serve as a resource for faculty and staff regarding procurement, travel, reimbursements, and funding guidelines, providing clear guidance and responsive support Contribute to special projects, events, and College-wide initiatives in collaboration with the Dean’s Office and administrative teams Skills Fully functional knowledge of and skill in standard office procedures and practices Ability to understand and operate in a variety of organizational structures Thorough knowledge of English grammar, spelling, and punctuation Ability to clearly communicate orally and in writing Knowledge of business mathematics beyond basic arithmetic Ability to use and quickly learn new office support technology systems and software packages Demonstrated experience in procurement, budgeting, and financial reporting Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Gmail and Calendar) Knowledge of university procurement policies and procedures, particularly within a higher education environment Experience coordinating with university departments, research foundations, and external agencies Familiarity with Oracle systems, including Oracle IExpense Benefits Generous Time Off: 15 paid holidays, vacation, and sick leave.
