Advertising Specialty Institute (ASI) is the largest global provider of technology B2B services for the promotional products industry. They are seeking a Collections Administrator to manage cash receipts, billing adjustments, and provide support for Credit & Collections and Accounting functions.ResponsibilitiesProcessing and applying cash receipts in Personify to ensure accurate posting to customer accountsPosting Lockbox, ACH, and wire payments for ASI, ASI Show, and PPMMonitoring central payment inboxes and handling payments, cancellations, and billing adjustments in Personify and D365Managing write‑off recoveries in Personify/D365, including reversals and required adjustments in accordance with company policyPreparing and distributing non‑payment lock reports to ESPReviewing and processing cancellations tied to scheduled delists in Personify/D365Canceling accounts and orders for non‑payment and maintaining clear documentation of actions takenProcessing write‑offs during month‑end close following approved procedures and supporting documentationPreparing invoices for the Collections team, ensuring accurate formatting and complete PDF documentationCanceling orders and terminating accounts as needed, ensuring all systems and records remain up‑to‑datePreparing invoice files for email distribution through Pitney BowesCompiling and delivering write‑off files for submission to third‑party collection agenciesGenerating, reconciling, and analyzing management reports as neededAssisting with additional accounting and administrative tasks as assignedSkillsHigh School Diploma or GED requiredProficiency in Microsoft Office suite, with strong skills in ExcelBachelor's degree preferred or equivalent experiencePrior B2B billing or collections experience preferredMS Dynamics (D365) experience a plusBenefitsMedical, Dental, and Vision coverage, available on day one of employment.Paid maternity and paternity/bonding leave (12 weeks paid for birthing/primary parent and 4 weeks paid for secondary parent) and a parent support group.12 weeks of paid daycare for new parents (14 weeks at our onsite daycare center, Lots of Love).Free Health and Wellness programs.Free 24/7 access to Magellan Employee Assistance Program and Teladoc.Day one 401(k) with company match.Paid holidays, floating days, and paid time off (PTO).Office amenities with onsite café, Starbucks, 24/7 free gym access and classes, onsite daycare, EV charging stations, creative spaces such as our community garden club, music room, art room, and relaxation space.Company OverviewThe Advertising Specialty Institute (ASI) is the largest media, marketing and education organization serving the promotional products industry.
