CMCS Office Manager
CMA is a company focused on property management, and they are seeking an Office Manager to support maintenance operations. The Office Manager will manage email correspondence, coordinate maintenance scheduling, and ensure efficient communication among property managers, technicians, and subcontractors.ResponsibilitiesMonitor, organize, and respond to a high volume of maintenance-related emails dailyReview incoming maintenance requests for accuracy, urgency, and completenessMaintain clear, professional written communication with property managers, field technicians, subcontractors, and supervisorsTrack open items and follow up to ensure timely completionCoordinate and schedule maintenance work and estimate requests using a maintenance management platform and email systemAligning schedules between internal maintenance staff, subcontractors, and supervisorsUpdate schedules and communicate changes promptly to necessary individualsEnsure service priorities and timelines are accurately documentedCreate, update, and maintain work orders, estimate requests, and service recordsMaintain accurate documentation, correspondence, and service historySupport maintenance supervisors with operational and administrative tasksCommunicate with subcontractors regarding estimates, scheduling, and job trackingMaintain organized digital files and recordsAssist with reporting, tracking, and workflow documentationCollaborate with team members to improve department efficiencyTackle new duties as assigned by supervisor and managerSkillsMust be responsible, honest and reliable; able to work full-time hours and attend work on a regular basisMust have good verbal communication skillsMust be a self-starter and able to identify problems, determine best solutions, improve processes, and pursue corrective actions with minimal supervisionMust have knowledge of the construction or maintenance industryExperience using maintenance or service management platformsStrong interest in learning new software systemsGeographical knowledge of work area or map reading skillsStrong attention to detail and reading comprehension skillsExcellent organizational and time-management abilitiesAbility to accurately interpret and prioritize maintenance-related requestsStrong teamwork skills with a collaborative mindsetAbility to follow established procedures and workflowsAbility to multitask effectively in a fast-paced environmentMust pass the Background Check and Drug TestProficiency using Microsoft Office applications and Outlook emailThe knowledge, skills, and abilities typically gained through the acquisition of a high school diploma and/or GEDCollege degree or educational equivalentBenefitsMedical, Dental, VisionLife InsuranceShort Term Disability, Long Term Disability, AD&D401k Retirement PlanCompany OverviewAt CMA, we believe in building something bigger than ourselves, every day.
