Client Services & Administrative Coordinator (Fully Remote, Part-Time)
Work with Willow has partnered with a client that is seeking a reliable, highly organized Client Services & Administrative Coordinator to support administrative and client-facing operations across two growing mental health and coaching organizations.
This role combines client communication, scheduling, and intake coordination with behind-the-scenes administrative support. Ideal for someone who is detail-oriented, proactive, and comfortable speaking with clients in a professional, supportive manner.
Key Responsibilities
β’ Serve as first point of contact for prospective clients (phone/email)
β’ Explain services, pricing, and onboarding process clearly
β’ Schedule appointments and follow up with inquiries
β’ Send and manage onboarding documentation
β’ Maintain organized client tracking systems (Google Sheets/Excel)
β’ Support administrative workflows, records processing, and EHR documentation
β’ Assist with internal operations and special projects
Qualifications
β’ 6+ months administrative experience in healthcare, mental health, or wellness
β’ Experience with EHR/EMR systems
β’ Familiarity with HIPAA and handling confidential information
β’ Strong communication, organization, and attention to detail
β’ Proficiency with Google Workspace (Docs, Sheets, Drive)
β’ Comfortable working independently in a remote environment
Schedule & Location
β’ Part-time (20β28 hours per week to start)
β’ MondayβThursday, standard business hours
β’ Fully remote (U.S.-based candidates only)
Compensation
β’ $21β$24 per hour (based on experience)
