Chatfuel & Make/Zapier Expert for Airbnb Automation (iCal, Sheets, & OCR)
I am looking for a highly skilled Automation Specialist to finalize a Chatfuel bot for my holiday rental business.
The bot is 90% complete, but I need an expert to bridge the gap between Chatfuel and external systems (Airbnb, Google Sheets, and payment verification).
Current Setup:
Chatfuel (WhatsApp), FAQs and it's 90% running.
Project Scope & Deliverables

Cal Integration:
Connect my Airbnb iCal feed so the bot can read availability in real-time before allowing a reservation flow.
2)
Advanced Google Sheets Sync:
Connect Chatfuel to a reservation spreadsheet to record: Full Name, Payment Amount, Payment Date, Total Amount Owed, and metadata (e.g., "Pets").
3) Scheduled Messaging (Check-in/Check-out):
A)
Day of Check-in:
Trigger a message early in the morning with a registration link.
B)
Standardized Check-in:
Automate a set of messages including door codes and arrival instructions.
C)
Day of Check-out:
Trigger a reminder message including a request for a review.
4)
Conditional Reminders:
Create a logic flow that sends a reminder if the registration form has not been completed by a certain time.
5)
Payment Screenshot Verification:
Implement a solution (likely using an OCR API like Google Vision or AWS Textract via Make/Zapier) to read the "Amount Paid" from a user-submitted screenshot and verify it against the record.
6) Standardized welcome message (not AI, standard template) after reserving.
7) (Seperate flow outside chatfuel) Populate airbnb reservation in the reservation spreadsheet (optional for 6 star upwork feedback, but desirable)
Requirements
• Proven experience with Chatfuel and JSON API integrations.
• Expertlevel knowledge of (Integromat) or Zapier.
• Experience handling iCal/ICS files and date formatting.
• Experience with OCR (Optical Character Recognition) for payment verification is a huge plus.
Strong communication and ability to document the final workflow.

A)
The Screenshot Problem:
Chatfuel isn't built for OCR (reading text from images).
The specialist will likely set up a webhook where Chatfuel sends the image URL to Make, which then passes it through an OCR tool (like or Google Vision) to extract the number and send it back to the bot or the sheet.
B)
The iCal Logic:
Since iCal is just a text feed, the specialist will need to "parse" it to find date overlaps. This is much easier to do in Make than inside Chatfuel itself.
C)
The Check-in Form Reminder:
To do this "Optionally," the automation needs to check the Google Sheet for a "Form Completed" status at a specific time (e.g., 2 hours after the first link was sent).
Contract duration of less than 1 month.
