Description
The Event Manager plays a critical role in planning, executing, and supporting events across multiple BridgeTower Media brands. This role is responsible for managing event logistics, timelines, and overall execution while collaborating closely with sales, editorial, production, and marketing teams.This role requires a self-starter who can operate autonomously while leveraging internal partners to execute at a high level. The environment can be fast-paced and, at times, chaotic, success in this role comes from strong organization, the ability to prioritize effectively, anticipate next steps, and maintain a strong sense of urgency.Weβre also looking for someone who enjoys being in the mix, comfortable interacting with teams, vendors, and clients, and bringing a positive, outgoing presence to both planning and onsite execution.Duties + Responsibilities:Event Planning & ExecutionLead planning and execution of assigned events from kickoff through post-event follow-upManage timelines, key milestones, and deliverables across all phases of the event lifecycleCoordinate event flow, run-of-show, staffing plans, and onsite executionAnticipate needs and proactively solve problems before they ariseVenue, Vendors & LogisticsSource venues and vendors (catering, A/V, photography, etc.) and manage relationships through executionNegotiate contracts and support internal approval processesOversee event logistics including setup, food and beverage, A/V coordination, and onsite operationsEnsure all third-party partners are aligned with event requirements and timelinesFinancial & Budget ManagementManage event budgets, tracking forecast vs. actuals and ensuring accuracy across reporting toolsMaintain a strong focus on cost management and overall event profitabilityPartner with sales and leadership to stay aligned on revenue and expense performanceMarketing, Nominations & Website OversightCollaborate with internal teams to support marketing campaigns, including email and social promotionSupport nomination and application processes by coordinating timelines, communications, and reportingOversight to ensure event websites and registration pages remain accurate and up to dateRegistration, Guest Experience & Data ManagementOversee registration accuracy and functionality in coordination with internal partnersManage guest lists, seating assignments, and event floorplansCoordinate attendee communications including confirmations, reminders, and post-event surveysEnsure high-quality experience for attendees, sponsors, and honoreesEvent Materials & DeliverablesReview & print all event-related materials including signage, programs, presentations, and awardsWork with internal creative and production teams on development and proofing; manage final production and delivery as neededEnsure all sponsor deliverables and onsite benefits are fulfilledStakeholder Communication & CollaborationServe as the primary point of contact for event-related coordination and questionsWork cross-functionally with sales, editorial, production, and marketing teamsProvide regular updates to leadership on event progress and key milestonesRevenue Support & Performance TrackingSupport sponsor fulfillment and coordination of deliverablesMonitor ticket sales, discount codes, and attendance trackingAssist with post-event reporting including year-over-year comparisons and insightsOnsite Event ManagementLead onsite execution, ensuring all logistics, vendors, and stakeholders are alignedManage real-time problem solving and ensure events run on time and at a high standardOversee setup, breakdown, and overall event experienceSkills + Qualifications:3β5+ years of event planning, project management, or related experienceStrong organizational and multitasking skills with high attention to detailProven ability to manage multiple priorities in a fast-paced environmentAbility to work independently while collaborating effectively across teamsStrong communication skills and an outgoing, professional presenceWillingness to travel approximately 30β50% depending on event scheduleProximity to a major airport in the Midwest or Pacific Northwest preferredReliable home internet connection with minimum 50mbps up/10mbps downWhat does BridgeTower Media offer?A competitive benefits package that includes health, vision, dental plus robust supplementary options.
