Position Overview: We are seeking a highly organized and detail-oriented Bookkeeper to support the day-to-day financial operations of Nao Medical. This role is responsible for maintaining accurate financial records, supporting accounts payable and accounts receivable processes, and assisting with reconciliations and month-end close activities across multiple clinic locations. The ideal candidate is execution-focused, highly dependable, and comfortable handling high-volume financial transactions in a fast-paced, multi-site healthcare environment. Why Join Nao Medical Hands-On Impact: Play a critical role in maintaining the accuracy and reliability of the company’s financial records Execution-Focused Role: Emphasis on owning and executing core bookkeeping and accounting support functions Growth Exposure: Gain experience supporting a rapidly expanding, multi-site healthcare organization Supportive Environment: Work closely with leadership in a collaborative, non-hierarchical culture Primary Responsibilities Core Bookkeeping Operations Maintain accurate and up-to-date financial records in QuickBooks Online Record and categorize financial transactions across multiple entities Ensure proper coding of expenses, payments, and journal entries Maintain organized and complete financial documentation Accounts Payable and Vendor Support Process and record vendor invoices accurately and in a timely manner Track invoice due dates and ensure timely and accurate payment processing Maintain vendor records, including W-9 forms and payment details Assist with vendor reconciliations and resolve discrepancies Accounts Receivable and Payment Processing Record incoming payments, refunds, and adjustments accurately Assist in tracking outstanding receivables and payment activity Support proper classification and documentation of transactions Reconciliation and Month-End Support Assist with bank and credit card reconciliations Support month-end close by ensuring financial records are complete and accurate Assist with identifying and resolving discrepancies Support audit preparation and financial documentation review Job Requirements Education: Associate’s or Bachelor’s degree in Accounting, Finance, or a related field preferred Relevant bookkeeping or accounting certification is a plus Experience and Qualifications: 2 to 3 years of bookkeeping or accounting support experience Minimum 2 years of hands-on experience with QuickBooks Online Strong understanding of accounts payable, accounts receivable, and reconciliations Experience supporting US-based companies strongly preferred High attention to detail and strong data entry accuracy Strong organizational and time management skills Ability to manage multiple priorities and deadlines efficiently Process-oriented, highly dependable, and execution-focused Comfortable working independently in a fully remote environment Strong written and verbal communication skills Experience in healthcare or multi-location organizations is a plus but not required Schedule Requirements: Ability to work Eastern Time hours, 9:00 AM to 5:00 PM, Monday through Friday, including holidays Technical Requirements: Reliable wired internet connection (100 Mbps minimum). Computer/laptop with Intel Core i5 or Ryzen 5 processor, 8GB RAM minimum, and 128GB free storage. Dual-screen setup preferred for enhanced productivity. Operating system: Windows 10 or macOS (latest version). Clear webcam (1080p or higher resolution) and microphone for communication. Backup systems for electricity and internet outages.
