Job Description

This role offers an exceptional opportunity to become an integral part of a dual healthcare operation where no two days are the same. You’ll be the backbone of daily operations, ensuring seamless order processing, accurate billing, and efficient administrative support across both a wholesale pharmaceutical company and a medical clinic. You’ll work during peak operational hours when your impact is most critical, helping prevent backlogs and ensuring smooth business operations. The role combines routine responsibilities with project-based work, offering both stability and variety in your daily tasks.

Responsibilities
• Order Processing Excellence:Handle customer orders throughout your shift, with particular focus on afternoon and evening processing to prevent next-day backlogs
• Billing & Financial Support:Manage billing tasks for the wholesale pharmaceutical operations with accuracy and attention to detail
• Shipping & Fulfillment:Create shipping labels and packing slips to ensure timely order fulfillment
• Data Management:Complete form filling, spreadsheet updates, and maintain accurate business records
• Medical Portal Management:Upload medical protocols and important information into clinic portal systems
• Information Processing:Copy, upload, and organize various types of business-critical information
• Documentation Support:Provide note-taking services and basic note translation when needed
• Digital Marketing Assistance:Handle basic social media posting using provided content and templates
• Administrative Excellence:Complete general data entry and various administrative tasks that keep operations running smoothly
• Workflow Optimization:Support continuous order processing to maintain efficient business flow

Requirements
• Technical Skills:Strong billing and bookkeeping experience with proficiency in data entry and spreadsheet management
• Schedule Flexibility:Ability to work independently during afternoon/evening hours (1:00 PM - 8:00 PM or 9:00 PM Eastern)
• Administrative Experience:Proven experience with form completion, administrative tasks, and business documentation
• Technology Proficiency:Comfortable with various technology platforms for uploading, managing, and organizing information
• Attention to Detail:Exceptional accuracy for order processing, billing, and data management tasks
• Social Media Basics:Familiarity with social media platforms for content posting and basic digital marketing support
• Communication Skills:Strong written communication abilities for note-taking and information processing
• Independence:Self-motivated with ability to manage multiple tasks and priorities effectively
• Healthcare Interest:Enthusiasm for supporting healthcare and wellness businesses (preferred but not required)
