About the Project
I am looking for a developer to support implementation on a healthcare membership platform. You will receive a complete project brief after hire. There is a new member who completes registration currently receive zero automated communication. Data lands in a holding table and stops. We are replacing that with a proper Airtable-based membership database, a segmented onboarding email flow in GetResponse, and clean form routing across the Squarespace site.
Data Migration and Database Setup
The current membership data lives in Zapier Tables and needs to move into Airtable, which becomes the primary system of record going forward. This includes migrating all existing records from 4 active tables, confirming field mappings, building the Airtable base structure, and handling deduplication so returning contacts are updated rather than duplicated. A pre-implementation workflow diagram is produced first for sign off before any build work begins.
Onboarding Email Automation
When a new member registers, their record lands in Airtable. Once the team marks that record as verified, GetResponse automatically creates the contact and enrolls them in the correct welcome sequence. There are 4 member types and each gets its own sequence. Each sequence is 3 emails (you are not writing the copy). All email copy is provided. You configure the triggers and routing. An internal notification fires to the full team on every verified signup.
Squarespace Form Routing
The marketing site has a few forms that need to be re-routed. The newsletter signup form gets replaced with a native GetResponse embed so submissions go straight to GetResponse. An investor inquiry form gets the same treatment using a native HubSpot embed. HubSpot tracking code also needs to be injected into the site header.
CRM and Compliance
A few smaller items round out the build. Email inquiries need to be centralized so the full team is notified and a HubSpot contact is created automatically. Newsletter opt-ins and unsubscribes need to stay in sync between HubSpot and GetResponse so a contact who opts out in one place is not contacted through the other.
Airtable Interfaces
Airtable backend will not be used at all. Five interfaces need to be built so the team can track growth, review member data, and make quick updates without touching the grid. These cover signup trends over time, geographic growth by state and metro, provider type segmentation, a searchable member directory, and a simple form for updating a contact record.
Handoff
At close the deliverables include a workflow diagram, a Loom walkthrough of the completed system, a written SOP, and a delivery call. Two rounds of iterations are included per deliverable, followed by a one-week hypercare period for any fixes before the engagement fully closes. Will also be a 30 minute weekly check in meeting.
